The essential function of the position within the organization is to provide administrative assistance to the Automotive Shop. The position is responsible for coordinating maintenance and repair of vehicles, monitoring supplies, record maintenance, fuel system management, and related clerical tasks.
Duties and responsibilities
• Perform fuel system management, calculating fuel usage and preparing periodic comparison reports.
• Serve as automotive shop foreman, interacting with personnel to get specifics on requested repairs, filling out and distributing work orders, ordering parts and delivering to shop personnel, and filling out reports.
• Perform clerical tasks such as entering vehicle information into database, answering telephones, taking messages, returning calls, faxing, scanning, copying, filing, sorting mail, entering and closing job orders, and entering invoices for payment.
• Establish and maintain record system; process daily paperwork including reports and memos. Set up and maintains files, books, records, and other systems of responsibility; provides database updates as required.
• Handle ordering of gasoline and oil and charge quantities out to appropriate departments. Prepare fuel invoices for outside agencies.
• Interact with vendors to procure quotes and order supplies and equipment; monitor equipment coming from warehouse.
• Operate a two-way radio and dispatches personnel to provide emergency roadside vehicle repair service.
• Attend safety classes, reinforce and comply with company safety policies
Qualifications
Requires two years of related experience. High School Diploma or GED and the equivalent of specialized vocational training in automotive mechanics or a closely related field. Must have a valid state driver’s license and meet minimum driving standards.
Knowledge of:
• Requiring some responsibility for achieving minor economies and/or preventing minor losses through the handling of or accounting for tools, materials or supplies.
• Addition, subtraction, multiplication, and division; may compute ratios, rates, and percentages.
• Guiding others, requiring frequent decisions, affecting the individual, co-workers, and others who depend on the service or product; works in a somewhat fluid environment with rules and procedures but many variations from the routine.
• Making decisions with minor impact - affects only those in immediate work area.
Skill in:
• Handling or using machines, tools, equipment or work aids involving some latitude for judgment regarding attainment of a standard or in selecting appropriate items.
Ability to:
• Copy, transcribe, enter, or post data or information.
• Speak with or signals to people to convey or exchange information.
• Read technical instructions, charts, and/or procedures manuals; compose routine reports and complete job forms; speak compound sentences using standard grammar.
• Perform coordinating work involving guidelines and rules with constant problem solving; requires continuous, close attention for accurate results or frequent exposure to unusual pressure.
Working conditions
While performing the duties of this job, the employee may be exposed to extreme heat and/or cold, wet or humid conditions, bright and/or dim light, dust or pollen, intense noise levels, vibration, fumes or noxious odors. All required safety standards shall be adhered to in order to mitigate risk from moving mechanical parts, electrical shock, heights, blood-borne pathogens, traffic, animals and wildlife, toxic or caustic chemicals, and other identified hazards.
Physical requirements
• This position requires frequent standing, kneeling, bending and climbing. The employee must be able to use hands to operate and manipulate tools and equipment. This position requires very heavy physical exertion including the ability to lift over 50 pounds and exert over 100 pounds of force on a regular basis.
• The employee must be willing to work non-standard and overtime hours as required.
• The position requires normal visual acuity and field of vision, hearing, and depth perception.
