🚀We’re Hiring: Automation & Onboarding Specialist 100% Remote 🚀

We are seeking a tech-savvy and proactive Automation & Onboarding Specialist to design, launch, and manage lead-to-client automations using ManyChat, PRO COACH Notion, and Klaviyo. Your work will turn new online and in-person training leads into buyers and ensure that every client has a seamless, high-touch onboarding experience—without manual intervention from the business owner.

👷‍♂️ What You’ll Be Doing

Automation Setup (Lead to Buyer):

• Build and optimize chatbot flows in ManyChat, connecting Instagram/Facebook to capture, qualify, and follow up with leads.
• Integrate ManyChat with payment systems (e.g., Stripe, Wix, PayPal) to automate the purchase process.
• Create automated hand-offs from chat to checkout, minimizing manual lead follow-up.

Client Onboarding Automations:

• Set up automated “New Client” workflows in Klaviyo that trigger when a purchase is made (welcome series, onboarding instructions with progress tracker in Notion, assessments, and goal-setting emails).

• Build and maintain personalized onboarding sequences linking to PRO COACH Notion forms for assessments, benchmarking, and intake questionnaires.

• Automate reminders and follow-ups (e.g., unfinished assessments, progress updates) via Klaviyo.

Integration & Workflow Management:

• Use Zapier, Make (Integromat), or other integration tools to ensure seamless data transfer among ManyChat, Klaviyo, payment processors, and Notion. Consult the business owner first to discuss the most useful and cost-efficient tool.

• Set up templates in Notion for new client onboarding, data tracking, and easy duplication.

Testing, Maintenance & Optimization

• Test all chatbot, email, and onboarding flows regularly (at least monthly) for accuracy and user experience.
• Monitor, analyze, and report automation analytics (conversion, completion, drop-off rates) and suggest improvements.

Support & Troubleshooting

• Respond to client onboarding issues flagged by the automation (e.g., missed steps, technical difficulties).
• Update automations as business offerings evolve.

✅ What We’re Looking For

• At least 2 years in a VA or Online Business Support role in Health and Fitness/Lifestyle (at least 1 year as tech-focused or in automation)
• ManyChat (or similar) - Instagram/Facebook automations to capture, qualify, and follow up with leads.
• Klaviyo (or similar) - triggered onboarding sequences, personalized reminders, event-based flows
• PRO COACH Notion (or similar) - CRM & Onboarding, Client dB/templates/trackers/forms/status updates
• Integration Tools (Zapier/Make/etc) - automations/error-handlings
• Payment Integrations (Stripe, Wix, PayPal, etc.)
• Quality Assurance & Technical Writing

🕒 Work Schedule 10 PM -7 AM Philippine Time.
