Job Description

The Attendance Monitoring Specialist plays a critical role in ensuring the accuracy and timeliness of caregiver attendance records. This position is responsible for real-time monitoring of clock-ins via Electronic Visit Verification (EVV) platforms, addressing and resolving attendance-related issues, and maintaining compliance with internal and regulatory standards. The role requires high attention to detail, strong communication skills, and the ability to manage high-pressure situations professionally.

Duties/Tasks to Perform:

1. Real-Time Attendance Monitoring

Monitor the call dashboard continuously to track caregiver attendance and verify clock-ins.

Promptly identify and address incomplete confirmations, errors, or missed clock-ins.

Contact caregivers 15 minutes after a missed clock-in to confirm attendance and assist in resolving the issue.

Follow up with aides to ensure successful clock-ins.

Alert scheduling coordinators immediately regarding mis-scheduled visits or geographic inconsistencies.

Maintain constant communication with Scheduling Coordinators to address inconsistencies.

2. Compliance & Documentation

Ensure compliance with EVV requirements by monitoring clock-in/out activity and taking corrective actions when necessary.

Administer disciplinary measures for recurring clock-in failures or geographical discrepancies.

Send timesheets for all confirmed missed clock-ins or clock-outs.

Accurately document attendance issues and resolutions in the appropriate tracking system.

3. Technical Support & Troubleshooting

Provide assistance to caregivers facing issues with the IVR or mobile clock-in application.

Offer guidance on correct clock-in procedures and proper use of the app.

Log all technical issues and escalate unresolved problems to the relevant department.

Requirements

  • Strong analytical and problem-solving abilities to efficiently identify and resolve clock-in issues.
  • Proficiency in using attendance tracking systems, EVV platforms, and mobile applications.
  • Excellent verbal communication and conflict-resolution capabilities.
  • Ability to remain calm and effective in high-stress situations.
  • Exceptional organizational skills and attention to detail, with accurate documentation practices.
  • Maintain respectful and professional communication when addressing attendance and compliance matters with caregivers.
  • Collaborate effectively with Scheduling Coordinators and Operations Staff to ensure continuous shift coverage.
  • Provide clear, supportive guidance to caregivers on resolving clock-in issues.
  • Exhibit empathy and professionalism in all disciplinary interactions.

Schedule: Sunday (8 am -8pm EST) Monday, Tuesday, Wednesday and Thursday (3 pm - 10 pm EST)
