Work Schedule: 8 hours per day, Monday - Friday (Student Contact days, 180 days/year)

Start Date: September 28, 2026

Salary: Level I (A12) $22.73 - $25.02 per hour

FLSA Status: Non-Exempt

Position Summary: Under the direction of the building principal and assistant principals, this position will perform a wide variety of secretarial and administrative support responsibilities for the Principal and building faculty, with emphasis on coordination of workflow and work assignment details for the office, ensuring that all essential accountabilities are performed in a complete, accurate and timely manner. This position will provide specific program support responsibilities such as; coordinate the planning/ scheduling details for various events or activities; and complete other special projects as may be scheduled or requested.

Essential Duties and Responsibilities:

  • Enters all attendance-related information into the Student Information System, verifies results, documents excused absences for partial-day and full-day absences.
  • Follows up regularly with staff, students, families and administrators to ensure proper accounting of class absences, unexcused absences, and other events which need to be verified and recorded.
  • Receives and answers direct attendance calls from families in a timely manner; enters attendance information left on voicemail and verifies information entered by families into online attendance system; explains district's attendance policies and procedures as requested
  • Tracks and monitors parent notes and messages for excusing student absences; determines authenticity of notes/messages as appropriate.
  • Provides weekly attendance reports to assistant principals and counselors for review.
  • Generates, mails, and logs all attendance-related letters to families (i.e. communications requiring a Dr. note to excuse, truancy letters, etc�) at the direction of assistant principals
  • Enters student absences at the direction of teaching staff for field trips;
  • Performs a wide variety of secretarial and administrative support responsibilities including, but not limited to reception of callers, visitors and students; materials distribution; information exchange; calendar management; mail screening and responses as delegated; formatting and composing correspondence, memos, agenda and other materials, presentations and general information for distribution.
  • Trains and works with student assistants
  • Performs additional job-related duties and special projects as assigned
  • Maintains data privacy associated with educational records
  • Works with teaching staff to ensure accurate recording of staff absences
  • Verifies that all needed substitutes are entered in ERMA and assigned in AESOP for absent staff; coordinates substitute schedule for substitutes
  • Checks substitutes into the office each morning, providing needed plans, keys, and other materials and ensuring that substitutes understand the requirements of their assignment
  • Checks substitutes out at the end of the day, collecting needed materials including keys and attendance reports
  • Excellent working knowledge of the assigned building and its programs and activities and also the skill and ability to coordinate and expedite the timely and accurate completion of all assigned work.
  • Demonstrated exceptional customer service skills including outstanding conflict resolution, responsiveness and follow through.
  • Ability to work in a fast-paced environment with continually changing deadlines and requests from a wide variety of sources.
  • Excellent organizational, planning, group process and time management skills, and an ability to provide clear, correct answers and direction to others. ? Ability to work cooperatively with others, in a manner that builds respect and teamwork.

Knowledge, Skills and Abilities:

  • Excellent working knowledge of the department, division and District programs as well as community programs and resources.
  • Knowledge of and the ability to accurately apply bookkeeping procedures established at the Division or District level and troubleshoot and resolve bookkeeping problems.
  • Knowledge and ability to effectively communicate through a variety of mediums.
  • An ability to work purposefully, confidently and independently within authority and responsibility parameters of the position under minimal supervision. ? Skill and ability to prioritize, assign and expedite work assignments of the secretarial work team, ensuring optimum customer service and office efficiency, through effective analysis of work flow and work direction.
  • Ability to integrate information, data and scheduling as requested and serve as a department resource in completing special projects.
  • The skill and ability to maintain assigned databases and draw requested data into report form as needed.
  • The knowledge, skill and ability to set up, maintain and ensure the security and confidentiality of data and information, particularly personnel-related records.
  • Excellent interpersonal and organizational skills and the ability to establish rapport with students, staff, parents and outside contacts.
