Summary
The Athletic Events and Business Operations Manager oversees administrative support to ensure overall organization and efficiency of athletic events and operations. This position serves as a resource for the college policy and procedure for renters, students and staff members using the Kahlert Foundation Complex. This position directly supervises seven to eight part-time operational staff and completes all associated supervisory responsibilities including, but not limited to: evaluating, recommending and processing hires, discipline, time and attendance, and separations. Provides administrative support for the daily operation of the main office to ensure overall organization and efficiency. Serves as a resource for business policies, procedures and programs for students, faculty and staff, and community members using the athletic facilities.
Essential Role Responsibilities
· The Athletic Events and Business Operations Manager receives telephone inquiries and greets in-person visitors as well as responds and/or directs inquiries to appropriate source.
· Monitors the following accounts, Sports Programs, PE Facilities and revenue.
· Monitors all departmental cost centers and budgets.
· Assists with the preparation of yearly budgets for teams. Maintains and processes invoicing and payment requests for external rentals and contracted services. Assist the Director of Fitness and Recreation with projections and preparation of yearly budgets and calculate year-end close-outs.
· Verifies and prepares athletic facilities schedules and contracts.
· Prepares and distributes contracts to participating schools and external rental organizations.
· Prepares schedule of open hours for intramurals, fitness center, and open gym each semester. Oversee development and distribution of information to the college community.
· Prepares purchase requisitions, correspondence, reports and memos as well as prepares and submits all approved online purchases and check requests.
· Assists with development of activities designed to promote athletics.
· Provides assistance and support for post-season regional, district and national championships hosted by HCC
· Reviews and approves part-time staff online time entries and temporary assignment forms of part-time coaches.
· Assists with the onboarding of new hires and serves as liaison to human resources for new hire paperwork.
· Collects, verifies and prepares data for reports and various other documents as requested.
· Provides assistance with facility work order requests.
· Maintains confidential files and records.
· Coordinates mailings; receives, screens and routes mail.
· Purchases office and departmental supplies.
· Photocopies and collates materials.
ADDITIONAL DUTIES AND RESPONSIBILITIES
· Composes and creates correspondence as well as completes data entry.
· Schedules and coordinates meetings and appointments for Director of Fitness and Recreation and various staff members.
· Coordinates contracts and payments to contracted service partners and external rental organizations.
· Assists with coordinating seasonal coaches’ meetings and student athlete orientation sessions.
· Sports School/summer camps – assists with brochure revisions, updates web page, responds to phone and email inquiries, assists with registration, orders supplies and equipment, prepares staff contracts, monitor budgets.
· Performs other duties as assigned.
· Abilities to serve as head coach of an intercollegiate athletic program.
Minimum Education Required
High School or equivalent
Experience Required
· Bachelor’s degree required.
· Considerable experience and skill in work coordination and office management, with a strong background in customer contact and service.
· Ability to be flexible in fast paced environment, motivated and detail-oriented.
· Knowledge of Microsoft Office, Windows, Email and Internet.
· Familiarity with the NJCAA

· Ability to maintain strict confidentiality.
· Regular attendance is a requirement of this job.

Minimum and Preferred Qualifications
· Bachelor’s degree required.
· Considerable experience and skill in work coordination and office management, with a strong background in customer contact and service.
· Strong leadership, administrative, organizational, analytical, and interpersonal skills.
· Knowledge of Microsoft Office, Windows, Email and Internet.
· Familiarity with the NJCAA
· Ability to write proficiently and fluently for various purposes.
· Ability to effectively direct multiple projects within deadlines, frequently under accelerated timelines.
· Must possess initiative, motivation, excellent judgment, and orientation to detail in a fast-paced environment.
· Ability to follow-through and interact effectively with people at all levels, both internal and external to the institution.
· Ability to work with minimal supervision.
