Job Description - Associate Specialist Single Order Desk Management

Job Objective

As a Specialist Single Order Desk Management, you serve as a central unit in our operational business. You play a key role in ensuring that the entire process - from client request, talent management, and hiring through to monthly billing - runs efficiently, precisely, and smoothly.

Key Performance Indicator (KPI)

  • Number of forwarded requests
  • Number of requests recorded in GFO
  • Number of published job postings
  • Number of profiles created
  • 100% accuracy in processing submitted tasks
  • Reliable adherence to deadlines and agreed upon SLAs

Responsibilities and Main Tasks

Order & VMS Management

  • Centralized receipt and qualification of customer requirements (VMS, email)
  • Responsibility for data quality in order lists and the GFO system
  • Strategic management of request distribution to internal branches to ensure delivery rates

Recruiting:

  • Create and publish job postings
  • Proactively request and follow up on missing CVs and handle the rejection process professionally
  • Recording of talents in G-FO
  • Creation of meaningful standard and customer-specific profiles

Talent management

  • Verification of the branch profiles for accuracy and completeness
  • Profile presentation to the client via VMS or email, including all necessary documents

Administrative tasks

  • Master data maintenance in SAP (sales documents, items, deployments, order references)
  • Obtaining, reconciling, and verifying employee time records
  • Reconciliation and Filling reports and lists

Hay grade 12 (grading system)

Requirements Profile

Education: Commercial/technical education or university degree

Job Experience: At least 5 years of professional experience in a comparable field of work

Technical Competence: google workforce, Salesforce and SAP, VMS

Core Requirements:

  • You are fluent in English (C1/C2 level).
  • You have an eye for detail and maintain high quality standards, especially when handling sensitive data and legal contracts
  • You are a self-starter who takes ownership of tasks and follows up reliably on deadlines
  • You are comfortable working with google, Salesforce, and ideally have experience with SAP and VMS platforms
  • Availability during CET 08:30AM-05:30PM (12PM-5PM IST) office hours and flexibility during day light saving changes

Aligned with central European Time for seamless daily collaboration
