Overview:

The Samples & Styling Operations Assocaite plays a central role in bringing the vineyard vines lifestyle to life on set and across media. This cross-functional position manages the complete lifecycle of product samples—from initial tracking and coordination with Design and Merchandising to physical prep, on-set styling support, and post-shoot inventory returns. Positioned at the intersection of creative production, logistics, and styling, you will keep photo shoots running seamlessly, ensuring our products look their best while maintaining an organized, fast-paced workflow.

Key Responsibilities:

  • Manage end-to-end sample operations for all photoshoots and creative projects across seasons and product categories.
  • Own the planning, organization, tracking, and movement of samples from initial pulls through shoot execution and final return to the sample closet.
  • Create and maintain master sample pull documents to provide clear visibility into sample needs, status, location, and availability across multiple shoots and seasons.
  • Partner closely with the Sample Team, Photo Studio, Merchandising, Design, and Creative teams to coordinate sample requests and ensure product is available when needed.
  • Track sample arrivals, ETAs, and availability, proactively identifying potential gaps or delays and communicating updates to the appropriate teams.
  • Lead the packing, preparation, accounting, wrapping, and return of all shoot product, ensuring samples are accurately tracked and returned in a timely manner.
  • Coordinate closely with Styling to ensure all samples are organized and ready for style-outs and shoots.
  • Support the preparation of style-out decks and shoot materials, ensuring sample information is accurate and aligned with the shoot plan.
  • Assist with on-set sample management, including product organization, changes, and movement throughout the shoot day.
  • Maintain a high level of organization within the sample closet and styling areas, ensuring samples can be located and accessed efficiently.
  • Manage and restock styling kits and shoot supplies as needed.
  • Assist with style outs for seasonal catalog shoots and ecommerce shoots.
  • Prepare, steam and organize garments for style-outs and shoots.
  • Photograph and document approved looks.
  • Assist with accessories, footwear, and styling kits.
  • Run pre-shoot fittings for models.
  • Dress models and support on-set changes. (pinning, clipping, tucking, adjusting garments for camera)

What You Bring:

  • Experience in sample coordination, sample operations, shoot production, styling operations, or a related role, ideally within fashion or retail.
  • Strong understanding of the product sample lifecycle and the logistics required to support photoshoots and creative projects.
  • Exceptional organizational skills and attention to detail, with the ability to accurately manage a high volume of product, information, and deadlines.
  • Strong project management skills and the ability to independently manage multiple shoots, priorities, and timelines simultaneously.
  • Excellent communication and collaboration skills, with the ability to work effectively across Creative, Styling, Photo Studio, Merchandising, Design, and Sample teams.
  • A proactive, solutions-oriented mindset with the ability to anticipate needs, troubleshoot issues, and keep sample operations moving forward.
  • Comfortable working in a fast-paced, deadline-driven environment where priorities can shift quickly.
  • Strong interest in fashion, product, and creative production, with an appreciation for the importance of product presentation and brand standards.
  • Proficiency in Google Workspace, Excel, and PowerPoint.
