Job Description:

Mission

Support the Project Manager in the execution of After Sales contracts, ensuring efficient coordination of operational, administrative, documentary and reporting activities associated with spare parts supply projects.

The role contributes to the successful execution of the current portfolio by improving operational control, maintaining reliable project information, supporting supplier and customer coordination, and enabling the Project Manager to focus on business-critical activities such as customer management, business development, contractual negotiation, risk management and margin protection.

Scope note: The position is designed as a local application of the Associate Project Support profile, with a specific focus on After Sales spare parts supply contracts.

Main Responsibilities

Project coordination and operations

  • Monitor purchase orders, deliveries and contractual milestones.
  • Coordinate operational activities between internal departments and external stakeholders.
  • Follow up action plans, open points and operational issues.
  • Monitor suppliers, delivery commitments and pending actions.
  • Support the execution of spare parts supply contracts.

Project documentation and contract administration

  • Maintain project documentation, records and contractual information.
  • Ensure document control within project repositories and SharePoint areas.
  • Support preparation of project correspondence, reports and customer communications.
  • Maintain traceability of relevant project information and documentation.
  • Support the preparation and filing of meeting minutes, action trackers and project records.

Reporting and performance monitoring

  • Prepare and update project reports, dashboards and KPIs.
  • Support work-in-progress, order, delivery and billing follow-up activities.
  • Provide reliable data for management reporting and operational reviews.
  • Monitor deviations, risks and actions requiring escalation.

Customer, supplier and internal stakeholder support

  • Coordinate information exchange with suppliers and internal functions.
  • Support customer follow-up activities and preparation of customer meetings.
  • Prepare agendas, minutes and action lists for internal and external meetings.
  • Support timely response to customer requests and operational follow-up.

Commercial and business support

  • Support preparation of quotations and commercial proposals and customer submissions when required.
  • Assist in the tracking of opportunities, variations and business development actions.
  • Support the Project Manager with information required for reviews, offers and contract follow -up.

Required Profile

  • Bachelor's degree in Engineering, Business Administration, Industrial Organization, Supply Chain or related discipline.
  • Experience 0-3 years in Project Support, PMO, Project Coordination, Operations,
  • Contract Administration or Supply Chain.
  • Microsoft Excel, PowerPoint, Teams and SharePoint knowledge. SAP knowledge is preferred.
  • Reporting, KPI management and document control experience are valuable.
  • Spanish: native or equivalent.
  • English: professional working proficiency.
  • Personal competencies: Planning and organization, attention to detail, communication, customer orientation, teamwork, problem solving, proactivity and ability to manage multiple priorities.
