A Brief Summary of This Position:
The Associate Order Management Specialist analyzes customer order requirements and organizes the Company's efforts to meet them in ways that maximize both customer satisfaction and the business needs. The basic function includes end to end order monitoring, tracking, communicating, and documenting from the point of release to manufacturing through the areas of coatings, shipping, & delivery. Daily communications of order status required with external customer representatives, as well as collaborating with internal Valmont personnel up and down the organization, in the areas of manufacturing, production control, coatings, shipping, traffic, purchasing, & accounting to optimize order fulfillment.
Essential Functions:
· The Order Management Specialist is the focus of the Company's internal and external communications regarding orders in process. The incumbent is responsible for analyzing and reporting customer's delivery requirements and communicating with customer representatives about how and when the Company can meet them. The incumbent must maintain an overall view of the Company, its manufacturer's, agents, representatives, and its customers in order to communicate accurately and timely.
· Develop and maintain excellent customer relationships through prompt and effective communication.
· Address customer inquiries, concerns, and issues in a timely and satisfactory manner.
· Major goals include orders shipped complete, on time, and to the customer’s delivery requirements.
· The incumbent must be able to manage multiple priorities while maintaining a cooperative and objective attitude. He/she must also work well with deadlines and quick response times.
· The position requires skill at working with large volumes of numbers and accurately reporting data. Attention to detail in this area is critical, as is a working knowledge of personal computers and current software in the database and spreadsheet areas.
· The incumbent requires the ability to communicate professionally and tactfully with customers, Valmont agents, customer site contractors, and Valmont personnel at all levels of the business. Communications skills, both oral and written, are extremely important. He/she must meet the challenge of understanding each person's unique perspective in order to negotiate for the company from a position of strength and respectful leadership.
· The incumbent should possess the ability to make decisions that will produce the most positive results for both customer and company. Must also be able to adapt to a fast paced environment and rapidly respond to different situations in order to maintain the level of productivity the position requires.
· Communicate clearly on a regular basis with Valmont representatives, Valmont agents, and site contacts concerning Company progress on their projects. This function is designed to maintain customer confidence by taking a proactive approach in customer order handling, monitoring, tracking, and reporting order statuses with ability to identify and communicate risk for on time deliveries.
· Follow the customer communication timeline, standard work tasks, and Order Management best practices to guide the daily activity required for accurately managing & communicating customer order information, such as, order progression through all phases of work, order completion timing, and order delivery coordination.
· This position reports to the Lead Order Management Specialist and has no direct or indirect reports
· No travel is required for this position

· Proactively forecast and communicate risk for on time delivery
· Maintain updated customer order status notations within the system using best practice tools
· Heavy computer and keyboard usage
· Manages multiple priorities and duties
Required Qualifications of Every Candidate:
· High School diploma and 3+ years of work/educational experience or an Associate’s Degree with 1+ years of relevant experience, or a Bachelor’s Degree
· Ability to craft well written communications internally and externally
· Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public
· Strong knowledge of Microsoft Word, Excel, Outlook, PowerPoint, and Internet Explorer
· Excellent customer service skills
· Detail-oriented organizational skills
· Ability to maintain customer needs with oversight to customer history
· Passion and integrity who has the drive to excel, continuously improve, and deliver exceptional results
Highly Qualified Candidates Will Also Possess These Qualifications:
· Bachelor's Degree in related field
· Proficient in IFS knowledge / usage
· Ability to read and understand blueprints and manufacturing drawings
· Lean training or knowledge of basic lean concepts used for problem solving
· Bilingual skills - English and Spanish
Working Environment and Physical Efforts:
Work is typically performed in an office setting. The incumbent is regularly required to sit for extended periods of time, as well as talk and listen on the phone and in personal conversations or meetings. Environment is fast paced and demanding most of the time. No travel requirements for this position. The employee frequently is required to use hands to finger, handle, or feel and reach with hands and arms while working in the office with various files and forms and while working on the computer. The employee is occasionally required to move about the office. Incumbent must utilize proper ergonomic safeguards such as monitor height and positions, keyboard location and height and proper wrists rests. The employee must occasionally lift and/or move up to 25 pounds in working with large files, binders, and computer equipment. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, and depth perception.
