• Oversee, review and confirm matter details for manual and automatic new matter creation; ensure complete and accurate data within the e-billing platform.
• Maintain ‘front door’ intake standards and data hygiene; coordinate with requestors to resolve missing/incorrect information.
• Monitor invoice submission, perform preliminary compliance checks against policies/OCGs, and route for approval.
• Troubleshoot invoice discrepancies (entity mismatch, correct allocations, rates, narratives, coding); liaise with law firms and internal approvers to resolve in a timely manner.
• Facilitate invoice payments with key Finance stakeholders ensuring timely payments to legal vendors.
• Respond to questions from internal stakeholders and external law firms on invoice and payment status.
• Report on invoice reconciliation and payment status; provide regular updates to internal teams and firms.
• Prepare aging reports and ad-hoc billing summaries for leadership reviews; support matter inventory clean-up and close-out.
• Ensure billing processes adhere to firm policies, OCGs, and engagement letter requirements; escalate non-compliance as needed.
•Help document and improve billing protocols as systems and organizational needs evolve; contribute to playbooks and FAQs.
•Bachelor’s degree in Business, Finance, Economics, Accounting, or Data Analytics required.
• 3-5+ years of experience in legal billing, e-billing, AP, procurement operations, or law firm billing; in-house or asset management exposure a plus.
• Advanced Microsoft Office and Excel skills; familiarity with e-billing/matter management platforms (e.g., Brightflag, CounselLink, SimpleLegal, Legal Tracker, TyMetrix) and basic reporting a plus.
• Analytical mindset with strong reconciliation and problem-solving skills; high attention to detail and data accuracy.
