Job Title: Associate II – Benefits & LOA Services

Reports To: Amartya Bhatt

Job Type: Full-time

Shift: US/Canada Shift (5:00 PM – 2:00 AM)

Work Arrangement: Work from Office

SUMMARY:

The Associate II will be a key member of the Benefits & LOA Services team, responsible for providing end-to-end operational support for US employee benefits, vendor invoice processing, and related HR Shared Services activities.

The role requires an individual with 3–4 years of relevant work experience, preferably in US employee benefits administration, HR operations, payroll/benefits support, or vendor invoice processing.

The successful candidate will be expected to independently manage assigned processes, ensure high levels of accuracy and timely completion, resolve operational issues, collaborate with internal and external stakeholders, and identify opportunities for process improvement and automation.

The role involves handling sensitive employee and financial information and requires a strong understanding of process controls, confidentiality, compliance, and service delivery expectations.

Key Responsibilities

US Employee Benefits Administration

  • Manage day-to-day administration and processing of assigned US employee benefits activities in accordance with company policies, plan provisions, and established procedures.
  • Process and validate benefits-related transactions, employee requests, documentation, and data updates with a high degree of accuracy.
  • Support benefits-related activities across areas such as medical, dental, vision, HSA/FSA, life insurance, disability and other employee benefit programs, as applicable.
  • Review benefits data and identify discrepancies, missing information, or exceptions and take appropriate corrective action.
  • Coordinate with HR, Payroll, Benefits partners, vendors, and other stakeholders to resolve employee and operational queries.
  • Ensure benefits transactions and requests are completed within defined Service Level Agreements (SLAs) and Turnaround Times (TATs).
  • Maintain accurate and confidential employee records and documentation in HR systems and other applicable platforms.
  • Support employee and stakeholder queries by providing accurate information and timely follow-up.

Vendor Invoice Processing

  • Review, validate, and process vendor invoices related to Benefits and HR services.
  • Perform invoice validation against contracts, supporting documentation, employee/participant data, purchase orders, or other relevant records.
  • Identify discrepancies in invoice amounts, employee counts, billing periods, rates, or other billing elements and coordinate with vendors for resolution.
  • Maintain invoice trackers and ensure timely submission and processing of invoices within established timelines.
  • Support invoice reconciliations and ensure appropriate documentation and audit trails are maintained.
  • Coordinate with Finance, Procurement, Benefits teams, and external vendors to resolve invoice-related issues.
  • Monitor recurring invoices and identify unusual billing patterns, duplicate charges, or potential overpayments.

Reporting, Controls & Data Management

  • Prepare and maintain operational reports, trackers, dashboards, and metrics related to Benefits and invoice processing.
  • Perform data validation and reconciliation to ensure accuracy, completeness, and integrity of information.
  • Maintain appropriate process documentation and supporting records for audit and compliance purposes.
  • Ensure adherence to internal controls, confidentiality requirements, and established HRSS processes.
  • Support periodic audits, quality checks, and management reporting as required.

Stakeholder & Vendor Management

  • Act as a point of contact for assigned processes and establish effective working relationships with US-based stakeholders and vendors.
  • Communicate clearly and professionally with internal teams, employees, HR partners, and external vendors.
  • Follow up proactively on pending items, exceptions, and escalations to ensure timely closure.
  • Demonstrate ownership of assigned activities and ensure issues are appropriately communicated and resolved.
  • Participate in team meetings, process reviews, and stakeholder calls as required.

Process Improvement & Automation

  • Identify opportunities to simplify, standardize, automate, or improve existing processes.
  • Actively participate in process improvement initiatives and contribute ideas through the team's continuous improvement/Innovision program.
  • Support implementation and stabilization of new processes, tools, and system enhancements.
  • Identify repetitive manual activities and recommend opportunities for automation or efficiency improvements.
  • Maintain and update Standard Operating Procedures (SOPs) and process documentation when required.

Team & Knowledge Management

  • Demonstrate strong process knowledge and serve as a reliable resource for assigned activities.
  • Support cross-training and knowledge-sharing within the team to improve process coverage and business continuity.
  • Assist in training new team members on assigned processes and provide guidance on day-to-day activities.
  • Contribute to a collaborative and positive team environment.

Required Qualifications

  • Bachelor's degree in any discipline.
  • 3–4 years of total work experience, with relevant experience in one or more of the following:
  • US Employee Benefits Administration
  • US HR Operations / HR Shared Services
  • Benefits Operations
  • Payroll/Benefits Support
  • Vendor Invoice Processing / Accounts Payable Operations
  • HR/Benefits Vendor Management
  • Prior experience supporting US-based employees, stakeholders, or vendors is preferred.
  • Working knowledge of MS Excel, including data validation, filters, sorting, pivot tables, lookups, and basic reporting.
  • Strong written and verbal communication skills.
  • High level of attention to detail and accuracy.
  • Strong analytical and problem-solving skills.
