Job Description

The Associate, HR Shared Service supports the administration and delivery of day-to-day HR operational services, including employee inquiries, onboarding, offboarding, employee data management, benefits administration, and compliance-related activities. The role serves as a key point of contact for employees and people leaders, ensuring timely resolution of HR requests and accurate maintenance of employee records.

Working under close supervision, the Associate supports HR processes, maintains data integrity within HR systems, contributes to service excellence initiatives, and assists with HR projects and process improvement activities. The role requires strong attention to detail, customer service orientation, and the ability to manage confidential employee information with professionalism and integrity.

  • Manage incoming chats, calls, emails, and service requests, providing timely and accurate responses to employee and people leader inquiries while escalating complex issues when appropriate.
  • Support the processing of HR service requests, including employee data updates, organizational changes, compensation-related updates, leave administration, and other HR transactions in compliance with company policies and applicable regulations.
  • Maintain accurate employee records and ensure timely updates within HR systems, including Oracle HCM and other HR technology platforms.
  • Perform HR administrative activities related to onboarding, offboarding, employee data management, benefits administration, payroll support, and staffing processes.
  • Assist employees and people leaders by providing information on HR policies, programs, procedures, and available HR services using approved guidance and    resources, ensuring a positive employee experience.
  • Support the monitoring and reporting of HR Shared Services metrics, including response times, service request volumes, data accuracy, first-contact resolution, and onboarding effectiveness.
  • Prepare HR documentation, reports, communications, presentations, and other administrative materials following established processes and timelines.
  • Provide operational support to HR Managers and HR Business Partners by assisting with HR transactions, reporting, compliance activities, and workforce data maintenance.
  • Assist in the implementation of HR programs and projects, including employee engagement initiatives, process improvement efforts, system enhancements, and HR service delivery initiatives.
  • Support the development and maintenance of process documentation, standard operating procedures, knowledge articles, and process maps to drive consistency and operational effectiveness.
  • Identify data discrepancies, process gaps, or compliance concerns and escalate them appropriately to ensure accurate and compliant HR operations.
  • Maintain accurate and confidential employee records, including personal data, compensation information, benefits enrollment, leave records, and other HR-related documentation in accordance with applicable laws, regulations, and company policies.
  • Contribute to continuous improvement initiatives by providing feedback and recommendations to enhance HR service delivery, employee experience, and operational efficiency.

Education

  • Bachelor's Degree in Human Resources, Organizational Development, Business Administration, or a related discipline.
  • Master's Degree is preferred.

Experience

  • Minimum of 3+ years of experience in Human Resources Shared Services, HR Operations, HR Administration, or a related HR function.
  • Experience working with HR Information Systems (HRIS), preferably Oracle HCM.
  • Experience supporting employee lifecycle processes and delivering employee-focused HR services.

Licenses & Certifications (Preferred)

  • Certified Human Resource Professional (CHRP)
  • SHRM Certified Professional (SHRM-CP)
