A Day in the Life

This role supports Medtronic's event management function by coordinating Healthcare Professional (HCP) Training & Education (T&E) programs and congress-related activities. The team partners with internal stakeholders, healthcare professionals, and external suppliers to deliver compliant, well-executed educational events that support clinical learning and engagement objectives.

This position is based in Taguig, Philippines and follows a hybrid work model, combining onsite collaboration with remote work flexibility. No travel is required for this role.

The Associate Event Specialist / Associate Event Coordinator supports the planning, coordination, and execution of Healthcare Professional training, educational events, and congress activities. The role manages event logistics from request intake through event closure, ensuring compliance with applicable policies, accurate financial administration, and a positive participant experience.

Primary Responsibilities

  • Review submitted event requests to ensure completeness, alignment with requirements, and compliance with Healthcare Professional interaction policies.

  • Coordinate end-to-end event logistics, including venue sourcing, accommodations, travel arrangements, ground transportation, and participant support.

  • Serve as the primary logistics contact for event stakeholders and provide timely communication regarding event updates and changes.

  • Create, maintain, and update event websites to ensure accurate event information and participant communications.

  • Develop budget estimates, identify sourcing options, and support cost-effective event planning activities.

  • Manage relationships with suppliers and negotiate pricing, contractual terms, and service requirements.

  • Track registrations, coordinate participant changes, and communicate updates to vendors and service providers.

  • Support event financial management activities, including purchase order tracking, vendor payments, budget allocation, accrual validation, and collection of documentation required for event closure.

Required Qualifications

  • Bachelor's degree and 1+ years of experience in event coordination, event administration, hospitality, project coordination, or a related business support function.

  • Experience coordinating multiple activities, deadlines, and stakeholders within a structured process environment.

  • Proficiency with Microsoft Office applications, including Excel, PowerPoint, Outlook, and Word.

  • Experience managing administrative processes, documentation, and data accuracy with strong attention to detail.

  • Professional written and verbal communication skills in English.

Preferred Qualifications

  • Experience supporting Healthcare Professional (HCP), medical education, congress, healthcare, life sciences, or regulated-industry events.

  • Experience coordinating vendor engagements, quotations, contracts, or supplier relationships.

  • Experience managing event registration platforms, websites, or event management systems.

  • Experience supporting budget tracking, invoice processing, accrual validation, or other financial administration activities.

  • Knowledge of compliance requirements related to healthcare industry meetings, educational programs, or professional interactions.
