Summary

The Associate Director of Institutional Development supports Trenholm State Community College’s mission, strategic priorities, and student-success initiatives by planning, organizing, and implementing institutional development and fundraising activities. The position assists with identifying, cultivating, soliciting, and stewarding prospective donors; developing external partnerships; maintaining donor and prospect information; supporting fundraising campaigns and special events; and coordinating development-related communications and reports. Under the supervision of the Director of Development & Engagement and in collaboration with the College President, College Foundation, faculty, staff, alumni, community partners, and external funding organizations, the Associate Director advances private, corporate, foundation, public-sector, and philanthropic support for College priorities. The position also provides development support for Title III grant-funded institutional-capacity activities, as appropriate and consistent with applicable federal regulations, College policies, and approved grant objectives. The Associate Director is expected to exercise sound professional judgment, maintain strict confidentiality, represent the College effectively in the community, and operate with a high degree of initiative, professionalism, and autonomy. The continuation of the position is contingent upon grant renewal.

Examples of duties

  1. Assists in planning, organizing, implementing, and evaluating institutional development and fundraising activities that support the College’s mission, strategic plan, Title III objectives, and institutional priorities.
  2. Assists with identifying, researching, qualifying, and maintaining information on prospective individual, corporate, foundation, alumni, and community donors using prospect research, donor data, relationship mapping, peer review, and other appropriate resources.
  3. Assists with the cultivation, solicitation, and stewardship of annual, major, planned, memorial, sponsorship, and special gifts from alumni, individuals, corporations, foundations, and other public and private funding sources.
  4. Builds and maintains productive relationships with donors, alumni, community leaders, business representatives, foundations, volunteers, and other philanthropic partners.
  5. Supports the development and management of a donor-prospect portfolio and assists in coordinating cultivation and solicitation strategies with College leadership, the Foundation, and other relevant stakeholders.
  6. Prepares donor briefing materials, prospect profiles, gift proposals, stewardship reports, correspondence, presentations, campaign materials, and other development documents.
  7. Assists with the development of fundraising campaigns, donor-recognition strategies, giving opportunities, sponsorship packages, and proposals that communicate College priorities and encourage philanthropic investment.
  8. Provides donor stewardship through timely acknowledgments, thank-you correspondence, telephone outreach, donor visits, recognition activities, events, and other appropriate engagement efforts.
  9. Maintains accurate, confidential, secure, and current donor, prospect, alumni, fundraising, and departmental records in accordance with College policies, Foundation procedures, applicable regulations, and ethical fundraising standards.
  10. Develops, updates, and maintains donor, alumni, prospect, and relationship-management databases to support fundraising, stewardship, communication, reporting, and decision-making.
  11. Collects, analyzes, and prepares fundraising and donor-engagement data, reports, dashboards, and performance summaries for College leadership, the Foundation, Title III project leadership, granting agencies, accreditation activities, and other internal or external stakeholders, as appropriate.
  12. Assists in monitoring progress toward fundraising goals, development objectives, donor-engagement targets, and Title III-supported institutional-development outcomes.
  13. Supports College departments in identifying potential external funding opportunities, including corporate, foundation, public-sector, and private funding sources that align with College initiatives and strategic priorities.
  14. Collaborates with College personnel to support proposal development, external-partnership development, donor communications, grant-related stewardship, reporting requirements, and post-award activities, as assigned.
  15. Assists with the planning, coordination, and evaluation of donor-recognition events, alumni programs, fundraising activities, community-engagement initiatives, special events, and other institutional-development functions.
  16. Supports the College’s alumni-engagement efforts by assisting with alumni outreach, communication, database maintenance, volunteer recruitment, event planning, and strategies designed to increase alumni participation and philanthropic support.
  17. Assists in preparing, monitoring, and maintaining budgets, financial records, vouchers, requisitions, purchases, and other documentation associated with institutional-development activities in compliance with College, Foundation, Title III, and applicable federal requirements.
  18. Works collaboratively with the College Foundation and supports Foundation Board activities, donor stewardship, fundraising priorities, community partnerships, and recordkeeping in accordance with Board policy and established governance practices.
  19. Coordinates with College communications, marketing, public relations, and program staff to develop or assist in producing newsletters, donor communications, marketing materials, presentations, social-media content, and other promotional materials supporting institutional development.
  20. Represents the College at professional organizations, community meetings, donor visits, conferences, workshops, College events, and local, state, and regional activities, as assigned.
  21. Maintains current knowledge of fundraising best practices, philanthropy, donor stewardship, alumni engagement, constituent relationship management, grants development, and legal and ethical standards applicable to institutional advancement.
  22. Supports accreditation, compliance, institutional-effectiveness, and Title III grant-monitoring activities by maintaining complete, accurate, and timely records, documentation, reports, and evidence of completed activities and outcomes.
  23. Maintains the highest standards of confidentiality, professionalism, ethical conduct, and stewardship of institutional, donor, alumni, financial, and grant-related information.
  24. Participates in College committees, planning activities, professional development, special projects, and other assignments as directed by the Director of Development & Engagement and/or President.
  25. Performs other duties and special assignments as assigned by the Director and/or President.

Title III Funding and Compliance Responsibilities:

Because this position is funded entirely through a Title III grant, the Associate Director of Institutional Development shall:

  1. Performs duties that are directly aligned with approved Title III grant goals, objectives, activities, and budgeted personnel costs.
  2. Maintains appropriate time-and-effort documentation, activity records, and supporting evidence required for federally funded personnel.
  3. Assists with the collection and documentation of measurable outputs, outcomes, performance indicators, and institutional-impact data associated with Title III-supported development activities.
  4. Works collaboratively with the Title III Director, fiscal staff, institutional-effectiveness personnel, and other project stakeholders to ensure compliance with federal, state, and College requirements.
  5. Supports the development of sustainability strategies that strengthen the College’s capacity to generate external support beyond the Title III grant period.
  6. Refrains from engaging in unallowable lobbying, political activity, or other activities prohibited by applicable federal grant requirements.
  7. Ensures that fundraising, donor-development, and external-engagement activities supported with Title III funds are properly documented, allowable, allocable, reasonable, and aligned with approved grant purposes.

Qualifications

Required Qualifications:

  1. Bachelor’s degree from a regionally accredited institution.
  2. At least three (3) years of progressively responsible professional experience in fundraising, institutional advancement, donor relations, alumni relations, sales, marketing, public relations, grants development, community engagement, or a closely related field.
  3. Demonstrated experience developing and maintaining professional relationships with donors, alumni, community stakeholders, businesses, foundations, volunteers, or external partners.
  4. Experience working in a community college, higher-education institution, nonprofit organization, foundation, or public-sector environment.

Knowledge, Skills and Abilities Required:

  1. Ability to work well under pressure.
