The Upper School Associate Director of Admission works in close partnership with the Director of Admission and Financial Aid, the Associate Director of Admission (Lower School), the Admission Assistant, and the broader Strategic Enrollment Management team to support a comprehensive enrollment strategy centered on building meaningful relationships with prospective students and their families. The position also helps co-coordinate a dynamic portfolio of on- and off-campus events and sponsorship initiatives aimed at engaging prospective families, community influencers, and key opinion leaders. In addition, the role supports the Director of Admission and Financial Aid in overseeing the financial aid process, ensuring that applications, reviews, and decisions are handled with the highest level of integrity and confidentiality.
RESPONSIBILITIES
Enrollment Support
Work with the Admission Team to cultivate inquiries and leads; convert inquiries to applicants, and assist Grade 9-12 applicants with each stage of the admission process. Specifically, but not limited to:
- Conduct campus tours and familiarize prospective families with the history and culture of Cannon, its academic/artistic/and athletic offerings, educational philosophy, student life programs and character education focus.
- Organize student visits: coordinate Upper School prospective student visit schedule; communicate with Upper School Head, deans, teachers, coaches and student hosts to tailor a visit day to each applicant’s interests; provide the prospective family with information regarding the visit day; document the applicant’s visit day experience and collect feedback from faculty and deans; and ensure each visitor receives a personal gift/thank you note from the admission office.
- Communicate and work with applicant families throughout the application process.
- Administer the Independent School Entrance Examination (ISEE).
- Maintain paper and electronic (Finalsite Enrollment) records and notes to ensure the integrity of applicants’ files and the timely completion for Admission Committee review.
- Provide updates and summary reports to the Director of Admission and Financial Aid on the status of grades 9-12 applicants.
Co-Coordinate Community Outreach Events, including
- High School information fairs (Charlotte Prep., Trinity Episcopal, others)
- Davidson Concerts on the Green
- Charlotte Parent Education Fair
- New Growth Area outreach (Mountain Island Lake, Mint Hill, etc.)
Co-Coordinate On-Campus Admission Events, including
- Open Houses (JrK-12)
- Information Sessions/Discovery Days
- Accepted Student Celebrations
- New Parent Reception
- Upper School New Student Picnic
- New Student Orientation
Financial Aid Coordinator
- Assist the Director of Admission and Financial Aid with educating applicants regarding the financial aid application process and communicating the financial aid application process to returning and new financial aid applicants.
- Use Clarity For Tuition to maintain applicants’ financial aid applications, including but not limited to inputting data, processing financial aid applications, gathering aggregate financial aid data, and preparing financial aid reports.
- Engage with the Director of Admission and Financial Aid, and Director of Business in the evaluation and determination of financial aid grant decisions.
- Document financial aid grants in Veracross and the Clarity database.
- Prepare and send financial aid notification letters to financial aid applicants.
- Gather, analyze, and provide financial aid information to the Director of Admission and Financial Aid, and Director of Finance to assist them in the preparation of financial aid reports for the Head of School, Board of Trustees, and NAIS/DASL.
Student Ambassador Network Coordinator
- Facilitate the application, review, and appointment process of SAN leadership positions.
- Oversee the SAN and assist them with the execution of their responsibilities, including volunteering at admission events and developing a student ambassador culture.
- Manage the SAN including coordinating student ambassador volunteers for on and off campus events, planning meetings, and organizing a senior student ambassador gift.
General Duties
- At the direction of the Director of Admission and Financial Aid, engage and work with the Strategic Enrollment Management (SEM) team on various projects including print publications, marketing materials, website content, social media, and promotional items to further the Admission Department’s strategic goals.
- Coordinate the collection and analysis of enrollment and marketing related data.
- Be available to work evenings and weekends

- Become proficient in Finalsite Enrollment, Veracross, Clarity, AI, MS Outlook, MS Excel, Google Drive/Doc/Sheets, DASL, and other technology solutions as needed.

- Strong written and spoken communication skills
- Comfortable working in a fast-paced environment
- Organized, reliable, and detail-oriented
- Bachelor’s degree required, Master’s degree preferred
