About the Role

Spearhead AIA Group Office’s hospitality and event operations in 2 key buildings in Hong Kong adhering to AIA’s mission and operating principles.

Lead and be in charge of the AIA Group Office Corporate Travel Program in Hong Kong and Macau and regional GO hubs (currently Singapore & Shanghai), ensuring cost effective, well-organized and seamless experience for business travels.

Craft effective corporate travel policies and monitor escalations. Implement and enforce the AIA Group Office travel policies across Hong Kong, Singapore and Shanghai and work processes to ensure overall compliance.

Drive and lead projects related to employee dining, event facilities, business travel and travel technology solutions.

Roles and Responsibilities:

Responsible for the overall hospitality services and corporate travel program management for AIA Group Office in Hong Kong. Take lead of optimize business results, maximise new business opportunities as well as maintain operational excellence and efficiency.

Hospitality Operations

  • Superintend various functional units such as Dining Events, Chef Team & Waiter Service Team to ensure daily operations run smoothly and efficiently to provide diners with a pleasant experience.
  • Heading hospitality services overseeing end-to-end process as well as outsourced operations for employee dining, pantry amenities and event facilities at the 2 key buildings.
  • Co-lead with Group Sourcing team on RFP process for outsourced dining operations in AIA Building.
  • Building and developing strong relationships with key stakeholders, including senior management to ensure services provided are customer centric and continually adapted to the changing needs of business and user preferences.
  • Oversee Group ExCo and Board member events.
  • Monitor financial performance for Corporate Dining Department and be able to strategically manage these in order to meet financial expectations. Be accountable for annual budgeting and P&L of hospitality operations.
  • Identify operating efficiencies, opportunities to mitigate risks and introduce innovation (menu and technology) to deliver best-in-class customer experience.
  • Ensure operation meets the highest health, safety and food standards adhering to kitchen audit protocols. BCP and risk remediations implemented in a timely manner.
  • Organize festive staff offers and food promotions resonating Company mission of Healthier Longer Better Lives.
  • Maintain and create quality content for the Company’s intranet.

Corporate Travel

  • Oversee the Group’s corporate travel program in Hong Kong, Macau and regional GO Hubs (Singapore and Shanghai).
  • Co-lead in travel vendor contract negotiation and selection with Group Sourcing team across all travel products (travel management company, airlines, regional hotels and technology solutions).
  • Implement and head change processes of new vendors and launch new technology solutions including online booking tool.
  • Implement and enforce T&E policies and procedures.
  • Work with Group Corporate Security in setting up travel security policies and best practice work process guidelines for LBU travel managers.
  • Optimize relationships with travel vendors to identify ways of cost savings and enhance user experience.
  • Act as the core contact for travel related matters in Hong Kong, Macau and regional GO Hubs, including issue resolution and user education.

Minimum Job Requirements:

  • A degree in Hospitality or Hotel Management or related degree is preferred;
  • Minimum 15 years of all-rounded experience as an operational lead with front and back of house hospitality experience in a 5-star environment;
  • Minimum 10 years’ work in corporate travel program or related experience;
  • The role requires a high degree of flexibility due to its dynamic nature. An experienced, clear thinking, innovative and self-motivated, client focus organized individual with good integrity who can deliver cost effective and high-quality solutions with accountability in a demanding and changing environment;
  • Proven track record in leading a sizable event team in an environment that demands high flexibility and excellence;
  • Strong food service sense and knowledge of food trends to oversee development of menus for employee dining and corporate events;
  • Author content for internal communications related to staff dining facilities and business travels;
  • Ability to forge strong relationships, interact, influence and communicate effectively with all levels in the organization;
  • Team player and able to collaborate with vendors and all levels of internal and external stakeholders;
  • Department budget management experience
  • Experience in outsource contract process, vendor management and budget oversight
  • Proficiency in systems such as Workday, Ariba, Concur, SODA is an advantage.
  • Excellent verbal and written English and Cantonese; good Mandarin is an asset
