INSEAD is seeking an Associate Director, Faculty Administration to join our Faculty Administration and Support Department. This is a full-time, permanent position based at our Asia campus in Singapore. A hybrid working model is in place – 3 days on campus, 2 days from home.

The Faculty Administration and Support department at INSEAD plays a central role in delivering academic excellence by ensuring seamless faculty operations, supporting research initiatives, and enabling faculty success across campuses.

INSEAD is seeking an Associate Director, Faculty Administration to lead global faculty administrative operations. Based in Singapore and reporting to the Executive Director, Faculty Administration and Support, this role oversees a cross-campus team and ensures high-quality, consistent, and efficient service delivery to faculty worldwide.

The Associate Director will drive operational excellence, strengthen governance processes, and foster a collaborative, service-oriented culture across teams in Singapore and Fontainebleau.

Your Role within the Team

Global Team Management and Payroll

  • Lead and manage a cross-campus team (Singapore and Fontainebleau), including direct supervision of team members across both locations.
  • Ensure strong coordination, communication, and alignment of processes, priorities, and policies globally.
  • Oversee the preparation, validation, and processing of faculty payroll and overload payments across all campuses.
  • Act as primary lead for payroll and overload management for Singapore and Abu Dhabi faculty.
  • Serve as backup payroll coordinator for France (FBL) and North America (INA) faculty.

Faculty Credits and Workload Management

  • Oversee the management and timely submission of MTL forms for Singapore and Abu Dhabi faculty.
  • Collaborate with the Dean of Faculty (DoF) on annual teaching credit allocation for global faculty.
  • Ensure accurate entry and maintenance of faculty credits in PeopleSoft.

Onboarding, Relocation, and Immigration

  • Coordinate faculty onboarding in collaboration with HR and internal stakeholders, including relocation logistics and welcome processes.
  • Manage immigration processes, ensuring compliance with local regulations and institutional policies.
  • Oversee end-to-end relocation processes for new hires and inter-campus transfers.
  • Support strategic relocation initiatives, including ongoing faculty transitions in Abu Dhabi.

Financial Operations

  • Coordinate year-end financial closing activities for faculty in Singapore and Abu Dhabi.
  • Ensure accuracy, compliance, and timely reporting of faculty-related financial data.

Leave Management

  • Monitor and manage faculty leave (maternity, paternity, sick leave), ensuring accurate tracking and policy compliance.
  • Update teaching credits in PeopleSoft accordingly.
  • Oversee sensitive communications and provide support in exceptional circumstances, including bereavement.

Governance and Strategic Support

  • Lead the annual Faculty Activity Report (FAR) process, ensuring timely submission, review, and completion.
  • Support governance bodies, including preparation and maintenance of CAC meeting minutes.
  • Partner with the Dean of Faculty on the annual salary review process, including preparation of faculty salary letters.

Faculty Engagement and Recruitment

  • Oversee a global team managing faculty recruitment logistics and candidate experience.
  • Ensure high-quality engagement with candidates, including clear communication of INSEAD’s academic and administrative environment.

Events and Faculty Experience

  • Organize and coordinate faculty events in Singapore to support engagement and community building.

Official Documentation and Compliance

  • Prepare and coordinate official documentation, including attestation letters, visa letters, and other administrative certifications required for faculty and candidates.

Faculty Handbook and Policy Management

  • Update and maintain the Faculty Handbook in collaboration with the Dean of Faculty.
  • Ensure alignment of policies with institutional practices and regulatory requirements.

The Ideal Candidate Profile

  • Bachelor’s degree required; postgraduate qualification preferred.
  • Minimum 8 years of relevant experience in administration and team management, ideally in an international or academic environment. Ideally HR profile or having worked with contracts.
  • Proven experience managing teams across multiple locations and cultures.
  • Strong expertise in payroll coordination, operational processes, and compliance.
  • Demonstrated ability to lead complex operations, drive continuous improvement, and implement change.
  • Excellent interpersonal and communication skills, with the ability to engage senior stakeholders.
  • Strong organizational skills and attention to detail, with the ability to manage multiple priorities.
  • Service-oriented mindset combined with strategic thinking and leadership capability.
