The Associate Business Analyst & Project Coordinator supports and owns defined analysis and delivery work packages across continuous improvement and transformation initiatives. The role investigates operational challenges, analyses data and processes, develops practical recommendations, documents requirements, coordinates project activities and supports implementation of change.

Working under the guidance of the Portfolio Manager and senior transformation resources, the role is expected to produce its own analysis and first drafts of project deliverables. The role holder may obtain specialist input, but remains responsible for integrating findings, identifying next steps and completing assigned work packages.

The role provides a development pathway into Business Analysis, Project Management, Transformation Analysis and Continuous Improvement.

Responsibilities

Problem analysis and process improvement

  • Conduct structured discovery interviews, operational observations and document reviews.
  • Analyse operational data, project information and stakeholder evidence.
  • Develop initial problem statements, process descriptions and issue hypotheses.
  • Identify trends, root causes, constraints and improvement opportunities.
  • Document current-state processes, workflows, controls and business rules.
  • Develop simple future-state options and evidence-based recommendations.
  • Prepare first drafts of requirements, process maps, procedures, business cases and benefit assessments.
  • Validate analysis and recommendations with appropriate stakeholders.

Project delivery and coordination

  • Own defined work packages through planning, execution and completion.
  • Maintain project plans, schedules, milestones, action registers and RAID registers.
  • Convert findings into actions, owners, dates, decisions and dependencies.
  • Coordinate meetings, prepare concise minutes and drive action follow-up.
  • Monitor progress against deliverables and identify emerging slippage or blockers.
  • Resolve straightforward issues within delegated authority and escalate with options.
  • Support project reporting, governance forums and decision preparation.

Data, reporting and technology

  • Collect, validate, clean and analyse operational and project data.
  • Produce dashboards, reports, charts and presentations that explain implications, not only activity.
  • Support portfolio performance tracking and identify trends requiring action.
  • Identify opportunities for digitisation, automation and process simplification.
  • Support technology readiness assessments, testing and rollout activities.

Change, implementation and benefits

  • Support stakeholder engagement, communications, training and readiness activities.
  • Coordinate assigned implementation tasks and operational feedback.
  • Track agreed measures, baseline data and early benefits.
  • Contribute to post-implementation reviews and verify whether changes were adopted.

Stakeholder engagement

  • Conduct interviews and support workshops with operational and corporate stakeholders.
  • Build relationships across functions, sites and service lines.
  • Communicate findings, risks and recommendations clearly to different audiences.
  • Challenge assumptions respectfully and seek evidence when views conflict.

Deliverables and evidence of performance

  • Validated problem statements and discovery summaries.
  • Current-state process maps and issue analyses.
  • Data analyses, dashboards and insight summaries.
  • Requirements, procedures and operational documentation.
  • Options papers and recommendation drafts.
  • Delivery work plans and maintained RAID information.

Knowledge and skills

  • Excel: intermediate, including data validation, pivot tables, lookups and basic analysis.
  • PowerPoint: intermediate, with ability to present findings clearly.
  • SharePoint: intermediate document and information management.
  • Smartsheet: desirable; able to maintain plans, dependencies and workflows.
  • Power BI: desirable; able to interpret dashboards and identify trends.
  • Process mapping: beginner to intermediate.
  • Business analysis and requirements fundamentals.
  • Project delivery and governance fundamentals.
  • Change and operational readiness fundamentals.
  • Data analysis, visualisation and reporting.

Qualifications

  • Tertiary qualification in Business, Information Technology, Engineering, Commerce, Project Management or a related discipline.
  • Equivalent practical experience will be considered.

Essential experience

  • 1–3 years in administration, operations support, project support, business support, scheduling, technology support or similar roles.
  • Experience analysing data and producing reports or insights.
  • Experience coordinating multiple tasks and stakeholders.
  • Demonstrated ability to produce structured written work with limited rework.
  • Evidence of investigating an issue and recommending an improvement.

Desirable experience

  • Exposure to project delivery, process improvement or operational transformation.
  • Experience in mining, facilities management, technology, hospitality, logistics or operational service environments.
  • Exposure to Smartsheet, Power BI, SharePoint, Visio or similar platforms.
