Associate Business Analyst

Organizational Setting and Work Relationships
The Associate Business Analyst is a professional who is expected to deliver new insight and lasting business value by leveraging the many systems, analytics and business opportunities offered by cutting edge technology. The incumbent contributes to end-to-end integration and proactively manages updates from a business transformation perspective, utilizing skills and knowledge of the relevant area.
The incumbent contributes to client-facing design sessions and related change management for the on-going renovation of work practices, their streamlining and simplification; to do so, liaises with all relevant stakeholders to document procedures, brings awareness of procedure changes, and supports process reconfiguration to help transform the Organization from a largely transactional model to a strategic business partner for field operations and senior management.
S/he will be working closely with all relevant stakeholders to enhance the use of state of the art technology within the Area of Responsibility (AoR).

Duties
- Recommend functional and technical solutions for new or amended technologic services, procedures or systems to meet the defined business use cases.
- Ensure end-to-end integration of business processes across systems within the AoR.
- Ensure continuous systems' support through UNHCR's governance model, including managed service providers.
- Undertake quality assurance of delivered work from a functional perspective (Functional testing, Integration testing, Business Process testing and User Acceptance Testing), managing Sandbox and Production environments in accordance with UNHCR's governance model.
- Build strong business relationship with all stakeholders with respect to applications within the AoR.
- Conduct business analysis and make recommendations on how systems and analytics can be used to improve its value as a strategic partner for field operations and senior management.
- Coordinate business analysis and implementation of configuration proposals for systems within the AoR that minimize complexity, simplify processes and streamlines management procedures.
- Advise on complex system design issues, including how system configuration and use of analytics can help achieve targets and key performance indicators and benchmarks, etc.
- Contribute to enhanced analytics (AI, Machine Learning, etc.), and reports to UNHCR senior management, e.g. on key business driver insights and performance indicators.
- Recommend and analyse benchmarks within the AoR with those of comparable humanitarian organizations.
- Interface with the relevant counterparts and business process owners to prepare and test regular updates to the system within the AoR, including monitoring that all licensed capabilities are fully applied at all times.
- Build capacity for relevant business process owners to be aware of and prepared to use new or updated system capabilities.
- Build capacity for relevant business process owners to develop and publish timely end-user training materials, e.g. short videos, for all future system updates and business innovation initiatives within the AoR.
- Undertake and lead relevant system testing, coordinate and liaise with all levels of system support.
- Prepare and develop user-friendly and cost-efficient technologic tools and business requirements within the AoR; document business requirements and later update related operating procedures and/or training materials.
- Provide advice on basic security features, system roles and responsibilities as well as audit reports.
- Conduct report writing and report maintenance, set up actionable dashboards to meet the requirements of (regional) partners and their clients.
- Negotiate business requirements with stakeholders.

- Support the identification and management of risks and seek to seize opportunities impacting objectives in the area of responsibility. Ensure decision making in risk based in the functional area of work. Raise risks, issues and concerns to a supervisor or to relevant functional colleague(s).

- Perform other related duties as required.

Minimum Qualifications

Years of Experience / Degree Level
For P2/NOB - 3 years relevant experience with Undergraduate degree; or 2 years relevant experience with Graduate degree; or 1 year relevant experience with Doctorate degree

Relevant Job Experience
Essential
Relevant experience at the professional level as a business analyst or project manager in international organizations, public or private sectors. Documented relevant work experiences as a business/system analyst. Involvement in systems integration, implementation and related management and organizational change management initiatives in an international or multinational environment, with specific ERP or similar complex system management experience in at least one recent deployment project, preferably within the UN system or international public organization.
Good knowledge of procedures/processes and exposure to provision of support services in an International Organization, preferably specific to configuration and maintenance in a UN or international public organization. Involvement in the analysis, design development and testing of system configurations. Excellent communication, interpersonal and negotiating skills and the capacity to communicate complex technical issues in layman's terms. Very good working knowledge of standard desktop tools such as MS Office suite and proven capability to learn new software tools. Good knowledge of the UN rules/procedures and processes. Experience in learning/training activities.

Desirable
Extensive knowledge of ERP or other complex business systems, including formal training or certification. Experience in business processes analysis and streamlining in the UN using CM applications.

Nature of Position:

The Associate Business Analyst sits within the Global Data Service (GDS), Digital Identity and Registration Section (DIRS) and reports to the Registration and Identity Management Officer (P3) in the PRIMES Business Analysis team.

The Digital Identity and Registration Section (DIRS) is a section within UNHCR's Global Data Service responsible for the normative framework, policy, and standards that govern registration and digital identity activities across UNHCR operations and in support of States, as well as functional and business ownership of the PRIMES ecosystem - UNHCR's suite of population registration, identity management, and protection case management applications, including proGres, BIMS, PING, and Digital Gateway.

The Associate Business Analyst supports the delivery, maintenance, and evolution of UNHCR’s PRIMES Ecosystem. The position contributes directly to the quality, reliability, and user‑centred development of large-scale digital systems used globally by UNHCR and partners.

The incumbent is responsible for requirements gathering, business process mapping, documentation, stakeholder coordination, testing, and ensuring clarity between business needs and technical implementation. A key focus of the role is test management and quality assurance across PRIMES maintenance cycles and project releases, including triaging issues, verifying fixes, and supporting structured release processes.

This role works daily with developers, product owners, and operational stakeholders to ensure high standards in development practices, alignment with business requirements, and readiness of features for deployment. As UNHCR moves toward more integrated digital services for refugees and other persons of concern, the position also contributes to improving development efficiency, exploring automation (including automated testing approaches), and supporting both existing systems such as proGres and future digital platforms.

Given the global scale and operational impact of PRIMES, the role operates in complex stakeholder environments with competing priorities to oversee high-quality delivery in support of UNHCR’s protection and registration objectives.

Living and Working Conditions:

The position is based in UN City Copenhagen, Denmark. The incumbent should be expected to travel on missions to any region in accordance with operational exigencies.

The position requires residence in Denmark and cannot be undertaken remotely, although some teleworking is possible, after discussions with the manager.

Copenhagen is classified as a Category H duty station with all amenities and excellent infrastructure. Because of Denmark's northern location in Europe, the number of daylight hours varies significantly. During winter, the sun rises at about 08:00 and sets at about 15:30, whereas in summer the sun rises at about 03:30 and sets as late as 23:00.

Denmark is located in a temperate climate zone. Average daytime temperatures range from 2 °C (35.6 °F) in January to 20 °C (68 °F) in August. The average wind speed is 7.6 m/s, which explains why Denmark is one of the world's largest exporters of wind turbines. Rainy days are likely all year round, while snowfall happens once in a while during winter.

The UN City is located at one of Copenhagen's newest harbor side developments, and is just a 30 minute walk from the city centre. We are also close to Copenhagen's ferry terminal and only minutes away from the Copenhagen 's main public transport system; with bus 26 located approximately 10 minutes away from the office and Nordhavn train station located approximately 800m from the office.
