Job Description

We are seeking an experienced Administrative professional to support operations at our Pflugerville TX facility, as well as market (as needed). This role serves as the sole onsite administrative presence and requires a high level of independence, adaptability, and professionalism. The ideal candidate is comfortable wearing multiple hats, managing competing priorities, and working confidently in an operations-based environment while interacting with a variety of stakeholders. This position requires strong judgment, integrity, and the ability to speak up appropriately when issues arise. Prior experience in cash handling, reconciliation, and administrative operations is essential.

Responsibilities

  • Validate proof of delivery (“POD”) in SAP for all charge term accounts, which includes signatures, store stamps, receiving reports, etc.
  • Maintain accurate records of missing or incomplete payments and proof of delivery (“POD”) and proactively communicate with appropriate stakeholders to support collection efforts.
  • Works with a centralized Accounts Receivables department to resolve cashiering and/or customer issues via applications and/or SAP system.
  • Process Accounts Payable in a timely manner via centralized AP system or Purchasing card ensuring correct and consistent general ledger coding, as well as proper document retention in accordance with company policy.
  • Process NSF checks, either originating from location deposit activity or e-check deposit activity, by documenting activity appropriately on NSF log, updating customer status and terms appropriately with centralized customer maintenance department, and proactively communicating with appropriate stakeholders to support collection efforts.
  • Location process owner for onboarding of new hire and transfer employees, company mobile devices, and Override Code usage
  • Run, analyze, action on, and communicate on a weekly basis the customer refund data.
  • Serve as the primary back-up to process daily cashiering of delivered routes in SAP, which includes remotely depositing scanned checks and compiling a physical deposit for cash and coin.
  • Serve as the primary back-up to complete daily cashiering documentation, which includes running reports, maintaining log of cashiering activity, reconciling cashiering activity against bank deposit confirmations, and retaining appropriate documentation.
  • Serve as the secondary point of contact for armored car service, which includes preparing physical deposits and maintaining accurate log of armored car service activity.
  • Assist in maintaining security of cash room, which includes facilitating safe combination changes as needed.
  • Maintain accurate and organized document archiving while executing PepsiCo Document Record Retention policy concerning settlement and cashiering documentation.
  • Respond to email and phone communication in a timely and professional manner.
  • Maintain front reception and communal areas to ensure cleanliness and professional appearance.
  • Provide additional administrative support for location and/or market as assigned.

Compensation and Benefits:

  • The expected compensation range for this position is between $39,500 - $63,100.

Qualifications

  • High School Diploma or GED required.
  • Minimum of 3–5 years of administrative experience.
  • Strong organizational and time‑management skills with the ability to prioritize in a fast‑paced environment.
  • Proven ability to multitask with a sense of urgency while maintaining accuracy.
  • Exceptional attention to detail and follow‑through.
  • Strong written and verbal communication skills with the ability to interact professionally and constructively with internal and external partners.
  • Self‑motivated, initiative-taking, and customer‑focused.
  • Demonstrated tact, integrity, maturity, professionalism, and respect for others.
  • Advanced computer proficiency, including Outlook, Word, Excel, and PowerPoint
