Job Description

This role plays a critical role in supporting day-to-day site operations by delivering high-quality administrative, customer, and operational support.

This role requires a high level of independence, adaptability, and professionalism. The ideal candidate is comfortable working in a fast-paced, operations-based environment, managing competing priorities, and collaborating with a diverse group of internal and external stakeholders.

Responsibilities

  • Process accounts payable transactions in a timely and accurate manner using internal AP systems and/or purchasing cards.
  • Coordinate and manage shipping and receiving activities for the site.
  • Conduct weekly inventory reviews of office, breakroom, and maintenance supplies and ensure timely replenishment.
  • Maintain front reception areas and common spaces, ensuring a clean, organized, and professional appearance.
  • Support customer and supplier interactions, including visitor coordination, mail distribution, phone coverage, reporting, copying, and filing.
  • Serve as a primary administrative support resource for the local site team.
  • Provide logistical support for company meetings, site events, and diversity and engagement initiatives.
  • Manage meeting room scheduling and calendars.
  • Cross-train and provide coverage for settlement-related activities as needed.
  • Assist with printing and processing Hot Shot invoices.
  • Manage ad hoc requests, special projects, and additional administrative responsibilities as assigned.

Compensation and Benefits:

  • The expected compensation range for this position is between $39,500 - $63,100.
  • Location, confirmed job-related skills, experience, and education will be considered in setting actual starting salary. Your recruiter can share more about the specific salary range during the hiring process.
  • Paid time off subject to eligibility, including paid parental leave, vacation, sick, and bereavement.

Qualifications

  • Demonstrated ability to multitask with urgency while maintaining accuracy and attention to detail.
  • Strong organizational, time-management, and prioritization skills in a fast-paced environment.
  • Exceptional attention to detail, follow-through, and accountability.
  • High level of professionalism with strong interpersonal and customer service skills.
  • Advanced proficiency in Microsoft Outlook, Word, Excel, and PowerPoint.
  • Ability to work independently while effectively supporting a team environment.
  • High energy, proactive mindset, and willingness to take on a variety of responsibilities.
