This role is part of Alcon's Facilities & Administration function, a team that works to promote a safe and inclusive work environment through site services, like facilities management and security, and administrative support, as we transform the eye care industry.

Associate, Administrative Assistant is primarily responsible for handling technical administrative tasks, supporting operations, and improving efficiency by following established procedures and applying technical skills.

Job responsibilities:

• Manages all site travels

• Centralizes all corporate credit card claims reporting

• Lead or co-lead all site wide events

• Edit, proof, format, and produce documents
• Enter data, file or archive paper and electronic documents, and maintain accurate and complete documentation with rigorous quality control
• Schedule and coordinate meetings, manage diaries, arrange travel, and receive and relay telephone messages from internal and external contacts
• Handle confidential business and personnel information
• Adhere to GxP regulations by strictly following Standard Operating Procedures (SOPs)
• Complete all required training, meet individual job requirements, and contribute to organizational compliance and continuous improvement

Minimum requirement:

Education & Experience

  • Diploma or Bachelor’s degree in Business Administration, Management, or related field

  • Minimum 3 yearsof experience as an Administrative Assistant or Executive Assistant, preferably supporting senior leadership in:

    • Manufacturing

    • Operations

    • Engineering

    • Regulated or multinational environments

Digital & Technical Skills

  • Advanced proficiency in Microsoft 365, including:

    • Outlook, Word, PowerPoint, Excel, Teams

    • Copilot 365for executive productivity, summarization, content drafting, and meeting follow‑ups is preferred.

  • Hands‑on experience with Power Automateto create and manage workflows for administrative and reporting processes is preferred

  • Strong capability in preparing executive‑level presentations, reports, and dashboards
