Job Description

The Associate Director of Event Production is responsible for the planning and management of large scale, complex and/or high-risk production events. This position will have additional responsibility in the management, mentorship, and development of assigned Senior Producers, Senior Show Producers, Show Producers, Producers, Virtual Event Producers, Stage Managers, Associate Show Producers, and Production Coordinators. The Associate Director of Event Production facilitates the implementation of processes and SOPs to drive consistency in event production, optimizes deployment of production resources and drives the development of team members while ensuring the delivery of complex levels of execution specifically ensuring high levels of production planning, and management. This position will report directly to the Director, Event Production.

Key Job Responsibilities

Organizational Leadership

• Support and execute all company initiatives.

• Communicate goals and objectives to team members clearly and frequently.

• Assist Director, Event Production with performance management, development, and succession planning of Program Production talent where appropriate.

• Ensure all work with assigned clients and teams’ clients is delivered within target contribution margins.

• Partner with Sales and Operations teams to ensure accurate scoping and pricing through the entire sales process.

• Ensure proper resource management within the Event Production team providing insights to VP of Event Production, Sr Director of Event Production, and Director of Event Production to ensure the best talent to task alignment for the work.

• Partner with Project Management teammates to ensure high quality execution of the work.

• Ensure compliance with established Standard Operating Procedures (SOPs), Technical Standards and Production Standards.

• Lead by example in portraying a polished, professional image in accordance with the standards set forth in the Encore team member guidebook.

• Drive Results by implementing financial management initiatives including goal setting, budgeting, and cost management.

Production Management

• Execute all Event Production functions necessary to deliver large scale complex events at the highest levels of production efficiencies within budget, scope, and timeline.

• Responsible for partnering with the Creative team to bring forth the most innovative and experiential based solutions for our clients.

• Responsible for proper project planning of complex executions utilizing Encore’s project management software.

• Responsible for properly planning resources and logistics across all of Encore.

• Partner with cross discipline leadership teams to provide appropriate Event Production consultation where needed.

• Properly reconcile every event produced, specifically ensuring that all administrative data and paperwork has been entered, submitted, cross checked, and reconciled across the entire project.

• Directly manage clients, constantly working to establish and maintain the highest levels of client satisfaction.

Sales Partnership and Consultation

• Partner with the market sales team by directly providing scoping and pricing for all large-scale production projects.

People Development

• Increase operational effectiveness by communicating Encore Core values, strategies, and objectives to team members.

• Monitor and improve the team’s efficiency and productivity using Production standards and KPI’s.

• Maintain clear expectations regarding responsibilities, behaviors, and daily activities.

• Facilitate training and development opportunities for team members and ensure a safe work environment consistent with company values.

• Provide continuous feedback to direct reports and conduct annual reviews.

• Partner with the Director, Event Production and HR business partners to manage human resources activity including selection, performance management, salary administration, training and development and strategic human resources planning.

• Ensure assignments provide team members with opportunities for growth and development.

Job Qualifications

• Bachelor’s Degree or equivalent experience

• 8+ years of Event Production experience

• 5+ years of direct Client Management

• Familiarity with web-based project management software packages

• Strong written and oral communication skills

• Positive approach to teamwork, sales and problem solving

• Works well under pressure

• MS Office experience required

• Formal technical training desirable

Work Environment

Hotel

Work is performed in a hotel/convention center environment with moderate exposure to outdoor temperatures and to dirt, sand and/or dust. The working conditions will vary between moderately quiet to noisy volumes. Team members will use high-end audio-visual equipment and electrical components and will be exposed to heights via lifts and ladders. Team members may be asked to work in multiple hotel locations. Working times will include irregular hours and on-call status including days, evenings, weekends, and holidays. Team members must adhere to appearance guidelines as defined by Encore based on an individual hotel or a representation of hotels in that city or area.

Office

Work is performed primarily in an office environment. Working times may include irregular hours and on-call status including days, evenings, weekends, and holidays. Team members must adhere to appearance guidelines as defined by Encore based in an office environment and when traveling, on an individual venue or a representation of venues in that city or area.

Salary Pay Range: $93,065.00 - $120,984.00

The compensation offered for this role is determined based on the qualifications outlined in the job posting for the specified location. Final compensation is based on a number of factors including location, travel, relevant work experience, or particular skills and expertise. In addition, some positions may be eligible for other compensation such as potential overtime, bonuses or incentives.
