Description of Activities:

Assist the Local Administrative Supervisor in daily travel and operations support. Core responsibilities include end-to-end travel booking (flights, hotels, intercity buses, car rentals), corporate gift procurement and CRM-based gift inventory management, business reception and hospitality coordination, employee services support, and dormitory utility bill payment & reimbursement management (electricity, water, internet/telecom). Ensure all travel arrangements, gift distributions, reception activities, and utility bill settlements comply with company policies and budget guidelines. Maintain accurate records of expenses, inventory, utility consumption, and service requests to support smooth daily operations.

Travel Booking

Responsible for end-to-end travel arrangements including flights, hotels, intercity buses, and car rentals; compare prices, prepare itineraries, handle changes and cancellations, and maintain booking records.

Gift Procurement & CRM Management

Source gift suppliers, process purchase orders, track deliveries, and maintain CRM-based gift inventory and distribution records.

Business Reception

Coordinate reception for visiting clients and delegations, including airport transfers, accommodation, meeting rooms, catering, and visit itineraries.

Employee Services

Serve as the first point of contact for employee administrative inquiries; assist with onboarding, office supplies, welfare activities, and expatriate support.

Dormitory Utility Bill Payment & Reimbursement

Manage monthly electricity, water, internet/telecom, and gas bill settlement for company dormitories; verify invoices, process payment requisitions, track payments, and maintain utility expense ledgers.
