
The Assistant – Women’s Referrals, Screening and Scheduling is responsible for the coordination and processing of referrals to Women’s Services from various local and international hospitals and clinics, physician referrals and also patient self-referrals.
He/She is responsible for the direct contact with patients in order to schedule their Women’s Services appointments appropriately, collecting all required patient information, including for pre-registration and insurance eligibility, and maintaining accuracy in processing of the data to meet Sidra Quality standards.
The Assistant – Women’s Referrals, Screening and Scheduling is responsible for ensuring that all duties are carried out to the highest possible standard and promotes service excellence in all communications, both internal and external.
KEY ROLE ACCOUNTABILITIES
Coordinates referral process from CNL triage, to contacting the patient and scheduling the appointment while maintaining efficient communications with patients and clinical teams using various methods of communication.
Acts as the primary point of contact for Women’s Services patients referred from external healthcare organizations, clinics and international agents as well as patients who are self-referring to Sidra.
Receives and coordinates triage of referrals to Women’s Services in cooperation with the clinical team.
Contacts patients to arrange their appointment while creating/updating any relevant medical records/databases.
Populates and maintains comprehensive databases ensuring accurate information capture according to Sidra and division requirements.
Performs accurate pre-registration for Women’s Services patients.
Completes insurance eligibility checks which may require direct contact with the internal team liaising with insurance companies to support successful financial revenue processing.
Documents all relevant information correctly, appropriately, in a timely manner and meets the data quality standards of the facility.
Consistently performs patient identification practices throughout the process.
Ensures protection of patient records and data whilst complying with policies, procedures, and regulatory standards.
Reports data errors and duplication of medical records numbers to management for further investigation.
Maintains patient confidentiality at all times.
Coordinates stakeholders such as patient experience, interpreter services and any other relevant teams.
Provides information in a prompt, efficient, and professional manner.
Completes handover to next team member as required to ensure minimal disruption to patient experience.
Maintains KPI targets under supervision of the Supervisor/Manager. Meets deadlines on any other assignments tasked by Supervisor/Manager as required.
Assists coworkers if required during busy periods and if capacity allows.
Being polite, compassionate, and understanding to patients and family members at all times. Complies with Sidra customer service standards to ensure patient needs are met.
