As an Assistant Vice President in Asset Servicing Operations (SSV Ops Japan), you’ll be a hands-on operator responsible for delivering end-to-end corporate actions / asset servicing processing accurately and within deadlines in a highly controlled environment. You’ll handle client/stakeholder queries and exceptions, and support change activities such as UAT and process improvements. The work is high-volume and cut-offs driven.

Role Context / Department Profile
SSV Operations Japan sits within Markets and Securities Services and supports institutional clients through post-trade services. Asset Servicing Operations delivers controlled, timely, and compliant processing in response to market/regulatory change and client expectations.

Position / Location
Position: Assistant Vice President - Asset Servicing Operations (Corporate Actions / Asset Servicing)
Location: Tokyo - Nihonbashi Office

  • The office is planned to relocate to the Yaesu area around 2029.
  • Occasional work from the Omiya office may be required depending on operational needs.

Scope / Coverage
Coverage may include one or more of the following areas, and may change depending on business needs:

  • Corporate actions lifecycle processing (announcement capture -> entitlement calculation -> instruction processing -> payment)
  • Income / dividend distributions
  • Tax reclaims and reduced tax rate processing
  • Proxy voting
  • Event data capture, validation, and dissemination to internal systems and clients
  • Client/stakeholder query handling related to processing status, exceptions and event details

Key Responsibilities
Daily BAU / Asset Servicing Processing (hands-on)

  • Execute corporate actions and asset servicing processing (including income/dividends, tax-related processing, proxy voting) with high accuracy and in line with regulatory/client deadlines and cut-offs.
  • Maintain accurate status tracking and ensure timely updates to systems and stakeholders.

Client / Stakeholder Query and Exception Handling

  • Act as a key contact point for clients (as required) and internal stakeholders to resolve queries and exceptions.
  • Perform fact-finding, coordinate resolution, and escalate risks or potential client impact promptly with clear context and recommendations.

Operational Control / Documentation

  • Follow documented procedures/manuals and control requirements; maintain appropriate evidence and records to support audit readiness.
  • Participate in incident reviews, root-cause analysis and preventive actions as needed.

Continuous Improvement / Change Support

  • Support UAT and change initiatives to improve system capabilities and drive STP.
  • Identify inefficiencies and propose practical enhancements that improve productivity, controls and client outcomes.

Support Managers / Team Leads (operational stability)

  • Support managers/leads with daily operational stability through flexible task allocation and reprioritisation, while continuing to deliver BAU.
  • Assist with reporting, handovers/training support, and audit/compliance/control evidence preparation under guidance.

Qualifications
Must

  • 5-10 years of experience in securities/banking operations, preferably in asset servicing operations.
  • Ability to independently resolve operational issues, make decisions within delegated authority, and take accountability for outcomes.
  • Understanding of corporate actions lifecycle, including JASDEC and BOJ Net operational processes.
  • Native-level Japanese and business-level English communication skills (reading/writing/speaking/listening).
  • Experience supporting automation, system enhancement, and/or UAT.
  • JSDA Certified Securities Broker Representative (mandatory requirement).
  • Ability to manage multiple priorities in a high-volume environment; proficiency in Excel/Word and internal banking systems.

Preferred

  • Experience handling client/stakeholder enquiries and operational exceptions in a deadline-driven environment.
  • Knowledge of tax processing frameworks (e.g., DTT, FATCA/CRS).
  • Demonstrated ability to work effectively in procedure-heavy, control-focused teams and progress improvements through collaboration.
  • Interest in developing leadership capability over time (e.g., coaching/mentoring, process ownership, driving improvements).
