The Assistant to the VP of Innovation role will serve as administrative support for the VP of Innovation and other Directors within the function to ensure that company goals and objectives are accomplished and that operations run efficiently. In this role you will maintain and refine internal processes that support executives across the business, and coordinate internal and external resources to expedite workflows. You will manage communication with employees by liaising with internal and external contacts on various projects and tasks, manage calendars, plan meetings and events, research, provide technical administrative solutions in a paperless environment and handle information requests. You will perform administrative functions such as preparing correspondence, planning events, arranging conference calls, and scheduling meetings. You will plan and orchestrate work to ensure that department priorities are met, organizational goals are achieved, and best practices are upheld.

This position is based out of the Chick-fil-A Support Center Office in Atlanta, GA.

Responsibilities

  • Manage professional and personal scheduling for VP and additional Directors, including agendas, mail, email, phone calls, client management, and other company logistics
  • Coordinate complex scheduling and calendar management, as well as content and flow of information to senior executives
  • Manage senior executives’ travel logistics and activities, including accommodations, transportation, and calendar details
  • Provide administrative and office support, such as note taking, spreadsheet creation, presentation creation, and maintenance of filing system and contacts database
  • Maintain professionalism and strict confidentiality with all materials
  • Organize team communications and research, plan and execute events, both internal and off-site
  • Prepare written communication both internally and externally
  • Coordinate field visits, logistics and agendas to facilitate productive meetings
  • Prioritize and respond to Chick-fil-A Operators on Innovation related inquires
  • Prepare invoices, submit expenses for reimbursement, memos, letters, and other documents, using Microsoft suite.

Required Qualifications (Knowledge, Skills, & Abilities)

  • High School Diploma or GED
  • Experience in an administrative role reporting directly to upper management
  • Excellent written and verbal communication skills
  • Strong time-management skills and an ability to organize and coordinate multiple concurrent projects
  • Ability to interact with all functional levels and business areas
  • Develop and maintain strong working relationships with others
  • Expert level technology (computer) skills including Microsoft Office / Outlook
  • Desire to learn new technology and adopt as appropriate
  • Strong relational skills and ability to anticipate needs
  • Ability to compile, manage and track details, events, and data in an organized manner on-line that allows for quick access
  • Comfortable working in a mobile, interactive environment
  • Flexible team player, willing to adapt to changes and unafraid of challenges
  • Ability to maintain confidentiality of information related to the company and its employees
