Job Description

The Museum of Modern Art is currently accepting applications for an Assistant to the Chief Curator at Large and Publisher who will provide wide-ranging administrative support to the CCAL/Publisher and to the daily operations of the Publications department. The Assistant to the CCAL/Publisher also assists in the preparation of exhibitions, publications, reports, procedures, programs, and special projects. This position is on-site Monday through Friday.

Additional responsibilities include:

  • Manages and assesses the daily needs of the CCAL/Publisher, including coordinating a complex calendar, anticipating needs, and prioritizing requests.
  • Coordinates the CCAL/Publisher’s complex and busy schedule, anticipating needs for meetings and other scheduled activities, prioritizing requests, and pro-actively resolving conflicts. Ensures that all necessary information and materials are prepared in advance.
  • Serves as first point of contact and liaison with a high level of confidentiality for all the CCAL/Publisher’s contacts, including trustees, artists, authors, publishers, scholars, dealers, and art world professionals.
  • Coordinates the CCAL/Publisher’s complex travel, both international and domestic. Prepares detailed agendas, anticipates needs, and troubleshoots when there are unexpected changes.
  • Manages the CCAL/Publisher’s various inboxes, and answers their direct telephone line, as well as the main department line. Screens requests and triages for appropriate next steps.
  • Drafts formal correspondences to trustees, donors, artists, and other key Museum associates.
  • Responds to general inquiries on behalf of the CCAL and the Publications Department.
  • Performs general administrative duties for the CCAL and Publications Department, including organization and maintenance of the CCAL’s office area, files, expenses, and contacts.
  • Assists with day-to-day financial operations such as processing invoices and other operational needs.
  • Assists CCAL/Publisher on planning and organization of new publications initiatives and restructuring of procedures for existing publications series and activities.
  • Assists in maintaining records as well as the maintenance of Publications facilities (conference rooms, study centers, office spaces) and related inventory and equipment.
  • Assists with setup and running of lectures, roundtable discussions, gallery visits, etc.
  • Assists with preparation of presentation materials for internal and external engagements.
  • Coordinates and completes projects and administrative assignments as directed by the CCAL/ Publisher.
  • Performs any other duties reasonably related to the functions described above.

Requirements:

  • Bachelor's degree, and five or more years of relevant experience in administrative and/or development positions or equivalent.
  • Experience managing a complex calendar and coordinating complex travel arrangements.
  • Superior discretion, judgement, attentiveness, and professional initiative.
  • Excellent verbal, written, and interpersonal communication skills.
  • Superior ability to compose and edit formal correspondence.
  • Must work well under pressure, and possess high levels of tact and diplomacy.
  • Experience in a non-profit setting communicating with high-level donors, trustees, and preferably with artists, artist studios, etc.
  • Ability to anticipate needs and prioritize tasks accordingly.
  • Organized and able to handle multiple tasks and shifting priorities in a fast-paced environment.
  • Strong verbal communication abilities.
  • Strong computer skills, including proficiency with Google Workspace (Drive, Gmail, Slides, Docs), Microsoft Office Suite (Word, Excel, PowerPoint), expense and travel management software (Salesforce, Navan) required. Proficiency with Adobe Creative Suite (Acrobat Pro, InDesign) a plus.
  • Art history or publishing / editorial background is desirable.
  • Knowledge of one or more languages, in addition to English, is a plus.

Salary: The salary for this position is $64,023 per annum
