About the Role

We are looking for a seasoned Assistant to provide valuable administrative support to the General Counsel & Corporate Secretary, Board members, and legal team. Additionally, this role is part of the broader Zurich Assistant Network, whose aim is to exchange best practices, deepen the knowledge of business topics, develop skills and provide mutual support to enable our senior leaders reach their business objectives.

Key Responsibilities Include

  • Organization of Board of Directors meetings domestically and internationally, including the preparation of the agenda, formatting of minutes, and providing board documents on Diligent Board Book
  • Organization of Board members' travel, including booking flights, hotels, transfers, restaurants, and city tours
  • Support with the annual general meeting of shareholders
  • Organization of the annual Chairman’s Awards
  • Complex agenda management and travel planning
  • Manage invoices (set up vendors, create purchase requisitions and code invoices) and expenses (submit expense reports)
  • Team travel, visa applications, and holiday approvals
  • Creating presentations with PowerPoint
  • Onboarding of new team members, including new Board members
  • Support and assistance to the General Counsel & Corporate Secretary in all administrative matters
  • Being point of contact for the legal department
  • Support in event organization domestically and internationally (conferences and team events, activities & dinners), organize presents
  • Active participation in the Zurich Assistant Network meetings

About You

  • Ideally 5-7 years of experience as an Executive Assistant or similar role in an international environment
  • Experience in supporting multiple stakeholders of similar level of priority
  • Highly proficient in English, other languages are an advantage
  • Strong Computer literacy with experience of full Microsoft Suite, Success Factors, SAP, Concur, and ServiceNow preferred
  • Ability to organize, multi-task, and work under pressure
  • Passionate, quick thinker, creative and an effective problem solver
  • Ability to prioritize and switch between tasks to meet deadlines
  • Independent, efficient and service-oriented way of working with high organizational skills
  • Affinity with people topics
  • Strong stakeholder management - experience in interacting with people of various levels in the organization, people-oriented mindset
  • Detail-oriented and precise in execution
  • Employee will have to maintain a high level of confidentiality
  • Good solution finder, ability to work independently
