This position will support projects from initial planning, scope development, and bidding through construction, budget tracking, and final close-out. Work includes interior apartment renovations, corridor and lobby renovations, mechanical equipment replacements, façade, window and roof repairs or replacements, and related building capital improvements.

The Assistant Project Manager will work closely with the Project Manager, Property Management, building teams, contractors, consultants, and vendors to support safe, high-quality projects on schedule and within approved budgets while minimizing disruption to residents and ongoing operations.

Role & Responsibilities:

Capital Project Planning & Scope Development

  • Support assigned capital projects from initial assessments and pre-construction through completion and turnover; coordinate defined, smaller assignments under approved scopes, budgets, and schedules.
  • Collaborate and coordinate with Facilities and Property Management to document scope, priorities, and operational requirements.
  • Assist in preparing scopes of work, specifications, bid packages, pricing sheets, budgets, phasing plans, and schedules.
  • Review architectural and engineering drawings to support project coordination; identify missing information and route technical questions to the Project Manager or responsible professionals.
  • Track material and finish selections, building system requirements, and long-lead items.

Bidding, Procurement & Contract Administration

  • Assist with requests for proposals, contractor walkthroughs, bid comparisons, and vendor selection documentation.
  • Track material procurement, lead times, vendor deliveries, and subcontractor coordination; flag potential delays.
  • Maintain logs for RFIs, submittals, shop drawings, change orders, and correspondence with consultants and contractors; follow up on required reviews.

Construction Execution, Quality & Safety

  • Serve as a day-to-day coordination contact for contractors, subcontractors, consultants, and onsite building teams on assigned work.
  • Conduct regular site walks to document progress, workmanship, adherence to scope, and site safety concerns; promptly escalate deficiencies and potential issues.
  • Update schedules, milestones, and action logs; track contractor progress and corrective actions, and escalate field issues requiring direction.
  • Assist in coordinating permits, building department inspections, testing, and expeditors with responsible professionals and contractors.
  • Help document approved quality standards and mock-ups for recurring apartment, corridor, and common-area renovations.
  • Coordinate approved access, deliveries, staging, and elevator use; support planning for service shutdowns and work affecting building systems.

Occupied Building & Resident Coordination

  • Support Property Management on resident communications, advance notices, access, noise and dust controls, and escalation protocols.
  • Assist in sequencing apartment work around vacancies, unit turns, leasing commitments, and move-in deadlines as applicable.
  • Monitor protection of occupied apartments, common areas, elevators, and adjacent property, and track timely restoration; report deficiencies.
  • Communicate construction impacts, delays, and outstanding decisions to building teams, Facilities leadership, and the Project Manager as appropriate.

Financial Management & Reporting

  • Maintain project budget trackers, committed cost records, and supporting information for forecasts, contingencies, and variance reporting.
  • Organize estimates, change orders, payment applications, invoices, and completed-work records for review by the Project Manager or authorized approvers.
  • Assist with purchase orders, procurement approvals, invoice issues, and project financial close-out in line with company procedures.
  • Maintain project trackers and draft regular status reports covering schedule, costs, risks, decisions, and next steps.
  • Escalate proposed changes to scope, budget, schedule, or building operations before commitments are made; contractor selection, change approval, and financial commitments remain with authorized approvers.

Project Close-Out & Documentation

  • Prepare and track punch lists, final inspections, and deficiency corrections; support review and acceptance of completed work.
  • Collect warranties, as-built drawings, O&M manuals, permits, testing reports, and other required close-out documents.
  • Assist in coordinating equipment training, turnover to building teams, and warranty follow-up.
  • Maintain organized project records and provide documentation to support standardized project specifications and multi-year capital planning.
