Education/Certifications Required:
- High school graduate or GED certificate

- Knowledge of District attendance procedures, Board Policy, Texas Education Agency rules regarding attendance PEIMS reporting, Academic Achievement Record and Family Educational Rights Privacy Act (FERPA)

Function
The Assistant Registrar - High School, duties include registering students, processing student withdrawals, maintaining a daily tally of student enrollment, processing grade changes, maintaining records of teacher's classes by grade and by period, transcript generation, and leaver documentation.

Responsibilities:
- Organizes office routines and maintains files necessary to the performance of duties
- Enters data on student enrollment and withdrawals in accordance with District policy and in compliance with PEIMS reporting standards
- Assists with leaver accounting and course transcript accounting
- Works well with students, teachers and general public in reporting student information
- Assists with securing student information necessary to keep census records up to date, and make periodic reports to the Census Office
- Assists with students' permanent records by verifying required subjects taken and the numbers of credits earned
- Corresponds with other schools and institutions, requesting and providing information necessary to keep permanent records up to date
- Assists with data entry for leaver codes, student grades, student schedules, and transcript generation
- Assists with ordering diplomas and verifies graduates; responsible for the lineup of graduates for the graduation ceremony (high school only)
- Process and mail transcripts for current and former students to colleges, universities, etc.
- Works closely with campus registrar, attendance officers, probation officers, and court system
- Transcribes and inputs transcripts for students new to the District
- Processes student records to and from schools when students withdraw from or transfer within the District
- Distributes progress reports and report cards
- Serves as liaison between parents and teachers and works closely with parents to facilitate the filling out of necessary forms
- Verifies Rank in Class
- Maintains Student Error Reports
- Run and create reports as needed by administrator(s), teachers/ coaches, such as UIL reports.
- Ensure all teachers have posted grades for progress reports and report cards
- Posting Del Mar College dual credit, distance learning, Tx Tech credit by exam and PE equivalency to student records, NCAA Weighted Class Requirements
- Scans all student records to TREX
- Has basic knowledge of legal documents such as power of attorney, etc.
- Provides verification of student attendance/enrollment to various government entities
- Ensure student files have transcript and state assessment test supplemental pages
- Submit audit requests, tracking forms and stub codes to PEIMS Office
- Ensures grades are entered in eSchoolPlus when a long term substitute.
- Perform other job-related duties as assigned by the principal

WORKING CONDITIONS:
- Ability to receive information and/or instruction from internal/external customers through spoken expression.
- Ability to manipulate tools/equipment/keyboards.
- Ability to convey information and/or instruction to internal/external customers through spoken expression.
- Ability to perform work while standing and/or walking for extended periods, up to eight (8) hours a day.
- Ability to see detailed information, naturally or with correction.
- Ability to work summer hours
- Ability to work summer graduation
