Position Title:Assistant Project manager– Level III

Position Location:Remote - workvirtually fromanywhere in the United States

This is a position seeking someone who is looking to develop a broad understanding of project execution, from start to end. TheAssistant Project Manageris responsible forsupporting all aspects of a projectwith a primary focus on theprojectdeliverables and team management. This person will work as part of the project team and interact closely with the owner, designers, contractors, subcontractors, and other trades on projects in commercial and mission critical environments.

TheAssistant Project Managerwill receive general instructions on routine work, detailed instructions on newprojectsor assignments.  May work independently or under immediate supervision.  May serve as lead on routine projects of limited scope.

TheAssistant Project Managercommunicatesand operatesin line with organizational and client goals and values, as well as departmental objectives.

Essential Functions

Assist All Elements of Routine Projects (90%)

Project Coordination

  • Collaborate with the Project Manager to oversee project schedules, track milestones, and manageworkflowto ensuretimelydelivery of project phases.
  • Act as a liaison between internal teams, clients, and contractors tofacilitateseamless communication and resolve issues promptly.
  • Maintain project documentation and organize files, ensuring all stakeholders have access to the most current information.

Construction Administration

  • Manage and distribute RFIs, submittals, transmittals, and other project-related documentation.
  • Monitor construction progress bymaintaininglogs and tracking contractor inquiries or responses.
  • Ensure all construction administration tasks are completed in alignment with project specifications and standards.

Revit and Technical Support

  • Assist with Revit tasks, including creating, editing, andmaintainingdesign models and drawings.
  • Review models for quality and accuracy, ensuring they meet project requirements.
  • Provide drafting support as needed toexpeditethe preparation of drawing sets for submission.

Meeting and Communication Support

  • Prepare meeting agendas, take detailed notes, and distribute summaries with clear action items and deadlines.
  • Follow up with team members on assigned tasks and provide reminders for upcoming deadlines.
  • Present project updates to internal stakeholders in a clear, concise manner.

Proactive Task Management

  • Anticipate project needs byidentifyingpotential risks, bottlenecks, or inefficiencies and suggesting solutions to keep the project on track.
  • Regularly review project workflows and recommend process improvements to enhance team efficiency.
  • Take initiative to address and resolve minor issues independently, escalating more significant concerns to the Project Manager.

Stakeholder Engagement

  • Build strong relationships with clients, contractors, and vendors to promote collaboration and ensure alignment on project goals.
  • Respond promptly to inquiries from stakeholders, providingaccurateand professional communication.
  • Coordinate deliverables and submissions to meetclientand regulatory requirements.

Quality Control and Reporting

  • Perform quality checks on documentation, drawings, and models to ensure consistency and accuracy.
  • Attend site visits and conductreviewof existing condition surveys and help withpunchlists
  • Assistin preparing status reports and updates for both internal and external stakeholders.
  • Track lessons learned during projects and document them for future reference.

General Administrative Support

  • Organize andmaintainproject records, ensuring all information is up to date and accessible.
  • Assistwith onboarding new team members by providing project-specific training and guidance on workflows.
  • Support departmental goals by taking onadditionalresponsibilities orparticipatingin firm-wide initiatives as needed.

Administrative (10%)

  • Provideroutinereporting via narrative and photographic documentation
  • Create / complete project and departmental reports

Technology, Digital Tools & AI-Enabled Efficiency

  • Leverage AI-enabled and digital tools to enhance efficiency, reduce manual effort, and support consistent, high-quality work output.
  • Identifyopportunities to improve processes anddemonstratea continuous learning mindset, seeking outnew technologies, skills, and methods that elevate individual and team performance.
  • Adapt toemergingtechnologies and evolving digital workflows, actively supporting the integration and adoption of innovative tools across the organization.

Completion of Assigned Tasks and Deliverables on Time and on Budget

Performs Other Related Duties as Assigned

Position Requirements(Intermediate level for all the following)

  • Knowledge of industry trends, project management and construction procedures and best practices
  • Knowledge of MEP / FA / FP trades and the general requirements for each
  • Skilledat producing drawings and visual aids using Revit
  • Skilled at using MS Office Suite (Excel, Word, Outlook, PowerPoint, Teams), along with exceptional organizational skills for file management
  • Skilledat using project management software such as Procore
  • Knowledge of the importance of the Method of Procedure (MOP) Process, work notifications and protection of IT network and other equipment during construction
  • Skilled in completing assignments accurately and with attention to detail
  • Ability to work successfully in a remote environmentthrueffective communication and organizational skills, self-motivation, proactiveness and resourcefulness in a distraction free workspace
  • Ability to follow company and site safety requirements
  • Ability to analyze and prepare documents,reportsand correspondence
  • Ability to communicate effectively in both oral and written form (technical and non-technical information)
  • Ability to work successfully as a member of a team and independently with moderate supervision
  • Ability to work under pressure and meet close deadlines
  • Ability to effectively plan and delegate the work of others
  • Organizational skills, with the ability to manage multiple tasks simultaneously

Travel Requirements

  • Up to15%, this may include travel to any or all 50 US states
  • Travel is defined as physically leaving home on behalf of business activities including but not limited to client sites, meetings with other employees,meetingfor business development purposes, running errands on behalf of the business, attending industry conferences, etc.

Education / Experience Requirements

  • B.A. / B.S.degree in engineering, construction,or related discipline

  • Minimum three years of related experience
