Purpose of the Role

BGIS is seeking an organised and proactive Assistant Project Manager to support the successful planning, coordination, delivery, and reporting of projects across BGIS Direct.

Reporting to the Contract Manager, you will work closely with project managers, consultants, contractors, clients, and internal teams to help ensure projects are delivered safely, on time, within budget, and to the required quality standards.

The ideal candidate will be highly organised, confident managing multiple priorities, and comfortable communicating with a wide range of stakeholders. You will bring a practical approach, strong attention to detail, and a genuine interest in developing your project management career.

Key Responsibilities

  • Assist with the planning, coordination, and administration of projects.
  • Support project managers with programme scheduling, milestone tracking, and progress reporting.
  • Coordinate project documentation, including project plans, scopes, purchase orders, variations, meeting minutes, and status updates.
  • Liaise with clients, consultants, contractors, and internal stakeholders to support effective communication and project delivery.
  • Monitor project budgets, committed costs, invoices, and financial information to support commercial control.
  • Help identify project risks, issues, and dependencies, escalating these appropriately when required.
  • Assist with procurement activities and contractor coordination.
  • Support quality assurance, document control, and compliance with programme standards and processes.
  • Prepare weekly and monthly reports covering delivery progress, financial status, key risks, and upcoming activities. 📊
  • Maintain accurate project records, systems, and registers.
  • Attend project and stakeholder meetings, recording key actions, decisions, and follow-up items.
  • Contribute to the continuous improvement of project delivery, reporting, and coordination practices.

Education, Experience & Skills Essential

  • Previous experience in project coordination, assistant project management, programme support, or a similar role.
  • Strong project coordination and administrative capability, with excellent attention to detail.
  • Ability to manage multiple tasks and competing priorities across a programme of work.
  • Excellent written and verbal communication skills.
  • Strong stakeholder engagement and relationship management capability.
  • Ability to prepare clear and accurate reports, meeting minutes, and project documentation.
  • Sound problem-solving skills, with a proactive and practical approach.
  • Competence in Microsoft Office applications, particularly Excel, Word, Outlook, and Teams.
  • Ability to work collaboratively as part of a team while also taking initiative independently.
  • Experience working with project schedules, reporting tools, and document management systems.
  • An understanding of project delivery processes, risk management, and quality assurance practices.

Desirable

  • Experience supporting construction, infrastructure, property, or capital works projects.
  • A relevant qualification in project management, business administration, construction, engineering, or a related field.
  • An understanding of health and safety, contract administration, and project governance processes.

Workplace Flexibility

This position supports projects nationally across New Zealand and operates under an on-site/hybrid working model. Specific working arrangements will be discussed as part of the recruitment process and will depend on the requirements of the role and relevant projects.
