Position Summary

The Assistant Project Manager will support the Project Manager in the overall planning, coordination, execution, and successful completion of assigned heavy civil construction projects. This position will assist in managing project schedules, cost controls, procurement, subcontractor coordination, contract administration, client relations, and project documentation while helping ensure projects are completed safely, on schedule, within budget, and in accordance with contract requirements.

The Assistant Project Manager will work closely with the Project Manager, Senior Project Engineer, Project Engineers, Superintendent, subcontractors, suppliers, and other project personnel to coordinate project activities and resolve issues affecting project performance. This position will assist in monitoring project financial performance, identifying potential risks and opportunities, managing changes, and communicating project status to company leadership and the client as required.

The Assistant Project Manager is expected to demonstrate strong leadership, sound judgment, organization, and a thorough understanding of construction operations, contract requirements, and project management principles. This position maintains a high degree of safety awareness and professionalism while upholding all company mission statement and values.

Essential Duties and Responsibilities

• Know, understand, and “live” the company's mission statement and values.
• Assist the Project Manager in the overall management, planning, coordination, and execution of assigned projects from project startup through final closeout.
• Develop and maintain a thorough understanding of the prime contract, subcontract agreements, project plans, specifications, drawings, and applicable general conditions.
• Coordinate with the Project Manager and Superintendent to establish project objectives, schedules, budgets, manpower requirements, and equipment needs.
• Assist in the development, maintenance, and monitoring of project schedules using industry-specific software such as Primavera P6 or Microsoft Project.
• Monitor project progress against established schedules and budgets, identify potential delays or cost overruns, and assist in developing corrective action plans.
• Review project cost reports, labor productivity, equipment utilization, committed costs, and cost-to-complete projections. Assist in preparing monthly cost forecasts and project financial reports.
• Assist in the preparation, review, and administration of subcontracts, purchase orders, change orders, and other project procurement documents.
• Coordinate with the procurement team, subcontractors, and suppliers to ensure materials, equipment, and services are procured and delivered in accordance with project requirements.
• Manage and monitor subcontractor performance, including schedule adherence, quality of work, safety compliance, and contractual obligations.
• Assist in the preparation, review, negotiation, and tracking of owner and subcontractor change orders, including supporting documentation, cost estimates, schedule impacts, and associated contract requirements.
• Maintain effective communication with the client, owner's representative, design engineers, subcontractors, suppliers, and internal project personnel.
• Assist in leading project meetings, preparing meeting agendas and minutes, tracking action items, and communicating project updates to appropriate stakeholders.
• Oversee and coordinate project documentation, including RFIs, submittals, shop drawings, daily reports, correspondence, meeting minutes, and change order logs.
• Assist in the preparation and review of monthly owner billings, subcontractor payment applications, and supporting documentation to ensure timely and accurate invoicing and payment processing.
• Coordinate with project accounting and project controls personnel to monitor accounts receivable, accounts payable, cash flow, and project financial performance.
• Work with the Project Manager and Superintendent to evaluate manpower requirements, direct-hire activities, equipment needs, and overall jobsite logistics.
• Support the development and implementation of project quality control procedures and ensure work is performed in accordance with contract documents and company standards.
• Assist in identifying and managing project risks, including potential schedule delays, cost impacts, constructability issues, and contractual concerns.
• Ensure project activities comply with company safety policies, the company Injury and Illness Prevention Program (IIPP), OSHA requirements, environmental regulations, and applicable air quality control requirements.
• Support the development, training, and coordination of Project Engineers, Project Administrators, and other assigned project personnel.
• Prepare project status reports and communicate significant project issues, risks, financial concerns, and schedule impacts to the Project Manager and company leadership.
• Assist in the preparation and coordination of project closeout activities, including punch lists, as-built drawings, final documentation, warranty information, and final payment applications.
• Review and assist with project timekeeping, certified payroll documentation, and other labor compliance requirements as applicable.
• Perform other duties as assigned to support successful project execution and company operations.

Qualifications and Expectations

• Minimum of 7 years of progressive experience in the construction industry, preferably in heavy civil construction, renewable energy, water infrastructure, or power infrastructure projects.
• Demonstrated experience supporting the management of construction projects, including project scheduling, cost controls, procurement, subcontract administration, and contract documentation.
• Bachelor's degree in Construction Management, Civil Engineering, Construction Engineering, or a related field preferred. Equivalent practical construction experience may be considered.
• Demonstrated ability to read, interpret, and understand construction plans, specifications, contracts, and technical documents.
• Working knowledge of construction means and methods, project sequencing, jobsite logistics, and field operations.
• Experience with project scheduling software such as Primavera P6, Microsoft Project, or equivalent industry-specific software.
• Strong working knowledge of Microsoft Office, particularly Excel, Word, Outlook, and other applicable company software.
• Knowledge of construction cost controls, budgeting, forecasting, productivity tracking, and financial reporting.
• Familiarity with AIA contract forms, subcontract agreements, change order management, and general conditions associated with construction contracts.
• Knowledge of procurement, subcontractor management, and construction project closeout procedures.
• OSHA 30-hour training preferred or willingness to obtain.
• Working knowledge of Stormwater Pollution Prevention Plan (SWPPP) requirements, environmental compliance, and applicable air quality control regulations.
• Strong leadership, organizational, communication, and interpersonal skills.
• Ability to manage multiple priorities, meet deadlines, and work effectively in a fast-paced construction environment.
• Ability to identify problems, evaluate alternatives, and develop practical solutions in coordination with project leadership.
• Must possess a valid driver's license and be insurable.
• Knowledge of electrical power grid infrastructure and renewable energy construction is preferred.

Physical Abilities

Candidates must be physically and mentally able to perform the essential duties of the position without hazard to themselves or others, including: sitting, standing, and walking for extended periods; bending, kneeling, and reaching to retrieve and file records; possessing sufficient dexterity of hands and fingers to operate standard office equipment; seeing to inspect financial or statistical records, review construction documents, and observe a computer monitor; and hearing and speaking at normal levels to communicate with others.

The position may require periodic visits to active construction sites, including walking on uneven terrain, climbing stairs or ladders, and wearing required personal protective equipment.

Salary Range: $120,000 – $140,000
