Job Responsibilities

Research & Concept Development Support

  • Assist Producers and Curators with research on artists, institutions, scientific collaborators and technologies.

  • Support the preparation of exhibition proposals, briefs, background documents and reference materials.

  • Help gather images, texts and research content for internal presentations and early concept development.

Project Coordination & Administration

  • Support Producers in tracking exhibition timelines, schedules, milestones and deliverables.

  • Coordinate meetings, agendas, and follow‑ups with internal departments (Programmes, Marketing, Museum Services, AV/Tech, Visitor Experience, etc.).

  • Maintain up‑to‑date files, project trackers and shared project documentation.

  • Assist with preparing project reports, administrative paperwork and internal communications.

Compliance & Museum Standards (Assistant Level)

  • Support Producers in ensuring exhibition processes adhere to WSH guidelines, Marina Bay Sands operational procedures and basic museum standards.

  • Assist in preparing risk assessment documents and Safe Work Procedures under guidance from Producers.

  • Help review exhibition layouts for accessibility and visitor flow, noting issues for escalation.

  • Learn and apply basic conservation‑minded handling practices and exhibition care.

Installation & Deinstallation Support

  • Participate in site walks, installation briefings and logistical coordination.

  • Support Producers, Registrars and contractors during load‑in/load‑out as needed.

  • Assist in checking technical drawings, lighting plans and fabrication samples for consistency with specifications (with supervision).

  • Document installation progress and support the team by coordinating schedules, access, and paperwork.

Loans Administration Assistance

  • Assist with compiling loan requests and gathering loan forms, images and lender correspondence.

  • Help coordinate logistics for incoming and outgoing loans, including shipping information and courier arrangements.

  • Maintain loan condition files and ensure all documentation is properly archived.

Collections Care & Movement Support

  • Assist Registrars with condition reporting sessions, packing/unpacking support and crate‑tracking tasks.

  • Record environmental readings or movement updates as instructed by Registrars or Producers.

  • Help coordinate with conservators, couriers and technicians on scheduling and documentation.

Content Coordination

  • Compile draft information for labels, text panels, gallery guides and web content.

  • Support Producers in copyediting, proofreading and fact‑checking exhibition texts.

  • Help manage image permissions: requesting images, tracking copyright status, storing files and updating records.

Contract & Legal Workflow Support

  • Assist in preparing draft contracts and service agreements under supervision.

  • Coordinate with MBS Legal on document routing, signature processes and record‑keeping.

  • Track contract deadlines, deliverables and associated paperwork.

Budget & Procurement Support

  • Assist Producers in gathering quotations, raising purchase requests and processing invoices.

  • Maintain budget files and procurement documentation, ensuring accuracy and timely updates.

  • Liaise with the Exhibitions Administrator and Senior Administrator on procurement processes.

Hospitality & Travel Coordination

  • Coordinate accommodation, flights and per diem arrangements for visiting artists, couriers and collaborators.

  • Prepare access passes, welcome packs and schedules.

Documentation & Archiving

  • Maintain exhibition correspondence, filing systems and digital archives.

  • Assist with post‑exhibition debrief documentation, photo documentation archiving and records management.

Events & VIP Support

  • Help compile guest lists for exhibition openings and VIP events.

  • Assist on-site during press previews, public talks, workshops and VIP visits.

  • Coordinate logistics such as registration, wayfinding and hospitality.

General Operations

  • Respond to general enquiries and maintain exhibition-related databases.

  • Assist with broader museum events and cross-departmental projects as required.

  • Undertake any additional duties as assigned by the Producer or Senior Manager, Exhibitions.

Job Requirements

Education & Certification

  • A Bachelor’s degree in Arts Management, Museum Studies, Design, Communications or a related field preferred

Experiences

  • Equivalent 1–2 years’ experience in museums, galleries, events, production or cultural institutions.

Core Competencies

  • Strong organisational skills and attention to detail.

  • Excellent written and verbal communication skills in English.

  • Good interpersonal skills in negotiating, exchanging ideas, information and opinions to formulate the museum’s vision to business partners and arrive jointly at solutions

  • Ability to handle sensitive situations with diplomacy

  • Ability to manage multiple tasks and deadlines in a fast-paced environment.

  • Ability to work well in a team as well as independently.

  • Familiarity with museum standards (collections care, WSH basics, accessibility) is an advantage.

  • Computer proficiency (MS Office, project management tools; experience with collections databases desirable).

  • A proactive, resourceful and self-motivated approach to problem-solving.

  • Passion for the cultural sector and commitment to the mission of ArtScience Museum.
