The purpose of the role

As our Assistant Practice Manager, you'll play a vital role in the effective running of the practice by providing essential support to the Clinicians, Operational Teams and Practice Manager.

This isn't your typical Practice Support role - our Carlton practice is a bustling busy practice, supporting 9 General Practitioners, as well as a team of Allied Health Professionals including Psychologists and Physiotherapists. Our team are friendly and welcoming, trusted by our patients, and are always willing to do what it takes to provide the best support and outcomes to our patients and one-another.

Due to upcoming parental leave, we have an exciting opportunity for an Assistant Practice Manager on a fixed term contract within our Carlton practice.

Working a standard 38hrs week, typically Monday to Friday between the hours of 8am and 5:30pm, with the ability to flex your rostered hours at short notice where required. Contracted until mid-2027, with the potential for extension or permanency within Bupa.

What you’ll need to make it possible

• Previous experience as an APM or 4+ years' experience in a busy front desk administration role at a senior level within a GP or other allied health practice, or within a hospital setting essential
• Proficiency in Best Practice software highly regarded
• Strong communicator and active listener who can build rapport quickly
• Tech-savvy and adaptable, with the ability to pick up new systems with ease
• A natural problem-solver who takes initiative and gets things done
• Able to multitask and work accurately at pace in a busy clinical environment
• Confident working independently and managing the practice in the Practice Manager's absence

What you'll be doing:

• Support the Practice Manager with day-to-day operations as well as recruitment, rostering, team performance reviews, and financial oversight
• Coach and develop your team to achieve KPI targets and practice goals
• Contribute to continuous improvement initiatives that enhance the patient experience
• Assist in facilitating regular team meetings and maintaining effective communication across the practice
• Manage front desk operations, handling patient interactions and phone calls efficiently in a fast-paced environment
• Step up as Acting Practice Manager in their absence, taking ownership of rostering, staff performance, financial monitoring, timesheet approvals, and order processing
