Assistant Parts Manager
Position Summary
Under the supervision of the Parts Manager, the Assistant Parts Manager assists in the overall operation and performance of the Parts Department. This position provides leadership and support to parts personnel, delivers excellent customer service, promotes parts sales, assists with inventory control, and helps ensure efficient day-to-day departmental operations. The Assistant Parts Manager serves as a key point of contact for employees and customers and assumes departmental leadership responsibilities in the Parts Manager’s absence.
Essential Duties and Responsibilities

- Assists the Parts Manager with the daily operation, organization, and performance of the Parts Department.
- Provides leadership, direction, and support to counter sales and other Parts Department personnel.
- Assists customers at the parts counter, by telephone, and through electronic communication with parts identification, availability, pricing, ordering, and other parts needs.
- Promotes parts sales by identifying customer needs, recommending appropriate products, and developing strong customer relationships.
- Assists with monitoring departmental sales, gross profit, expenses, productivity, and other key performance indicators.
- Helps to ensure customer orders are processed accurately, efficiently, and in a timely manner.
- Handles escalated customer concerns and works with employees and management to achieve satisfactory resolutions.
- Assists with employee scheduling and ensures appropriate staffing based on business needs.
- Assists with hiring, onboarding, training, coaching, and development of Parts Department employees.
- Helps establish performance expectations and holds employees accountable for customer service, productivity, accuracy, attendance, and adherence to company procedures.
- Assists with maintaining proper inventory levels and ensuring inventory accuracy.
- Monitors cycle counts, inventory adjustments, returns, special orders, backorders, and other inventory-control activities.
- Assists with annual physical inventory preparation, execution, and reconciliation.
- Helps identify obsolete, excess, slow-moving, and fast-moving inventory and communicate recommended actions to the Parts Manager.
- Assists with monitoring vendor orders, emergency orders, special orders, and parts availability.
- Ensures established pricing, discount, return, warranty, core, and credit procedures are followed.
- Assists with overseeing delivery and dispatch functions as needed.
- Supports the Parts Manager in implementing departmental processes, procedures, sales initiatives, and operational improvements.
- Maintains a high level of product knowledge and stays current on manufacturer programs, parts systems, vendors, and industry developments.
- Promotes a safe working environment and ensures employees follow established safety policies and procedures.
- Assists with maintaining department cleanliness, organization, equipment, and overall professional appearance.
- Communicates departmental issues, customer concerns, staffing needs, and operational opportunities to the Parts Manager.
- Assumes responsibility for Parts Department operations and provides leadership to department personnel in the Parts Manager’s absence.
- Performs other duties as assigned.
Qualifications
- Previous parts sales, heavy-duty truck, automotive, equipment, or related industry experience preferred.
- Previous leadership or supervisory experience preferred.
- Strong customer-service and sales skills.
- Knowledge of parts identification, ordering, inventory control, and assisting with warehouse operations as needed.
- Ability to effectively lead, coach, and develop employees.
- Strong organizational, communication, and problem-solving skills.
- Ability to prioritize multiple responsibilities in a fast-paced environment.
- Ability to analyze problems, make sound decisions, and follow through to resolution.
- Strong attention to detail and commitment to inventory and transactional accuracy.
- Proficiency with computer systems and the ability to learn dealership management systems, electronic parts catalogs, and manufacturer systems.
