This role will be based in our New York City Office. Regular in-office presence is required for day-to-day operations, as well as for team meetings, training opportunities, and relationship building.

Position Summary:

The Assistant Managing Clerk is responsible for assisting the Managing Clerk in providing guidance to attorneys and staff on court procedures, filing requirements, and upcoming deadlines as well as supporting the docketing operation of the Litigation practice group.

Key Responsibilities:

  • Provides guidance to attorneys and staff on procedural requirements in federal and state courts
  • Prepares and reviews documents prior to filing with courts and service of process
  • Handles and oversees electronic filings
  • Coordinates court filings and service of process of related document
  • Monitor cases in local, state and federal courts and government/administrative agencies
  • Reviews court documents for applicable deadlines
  • Obtains documents such as orders, decisions using PACER and other court resources
  • Dockets hard copy and electronic mail
  • Runs standard docket reports and ad hoc reports
  • Communicates case status changes and docket updates
  • Sends reminders to attorneys and secretaries for upcoming deadlines
  • Monitors docket database for accuracy, redundancy, performs periodic checks and verifications of data
  • Performs searches and extraction of information from court-related databases and websites
  • Liaise with court personnel, and external vendors such as process servers and messenger services to coordinate service of subpoenas and notices
  • Works with the Managing Clerk on supervision of managing clerk’s office staff to include updating and training staff and court runners on court procedures
  • Assists with overflow work and special projects as requested and assigned.
  • Flexibility to work overtime as needed.

Qualifications:

Skills & Competencies

  • Ability to communicate professionally and interact effectively with all levels of personnel, including management staff and support staff
  • Demonstrated attention to detail, reliability, outstanding organizational skills and ability to learn and utilize new technology
  • Excellent client service skills and ability to work on multiple matters simultaneously in an organized manner and under minimal supervision
  • Skilled at drafting clear and concise memoranda, detailed fact summaries, pleadings and other documents
  • Flexibility and ability to respond quickly and positively to shifting demands

Education & Prior Experience

  • Bachelor’s Degree or equivalent experience preferred
  • Minimum of 8 years of litigation experience within a law firm
  • Experience with litigation practice to help determine future deadlines
  • Familiarity with New York and federal rules of Civil Procedure

Technology

  • Proficient in Microsoft Office Suite applications (Word, PowerPoint, Excel, Outlook) and document management systems
  • Exceptional computer skills with the ability to learn new software applications quickly
  • Proficient in searching and retrieving information from court‐related databases (e.g., PACER, NYSCEF, CourtAlert.com and Bloomberg) and other on‐line sources of case information, including Lexis and Westlaw
  • Proficiency with E-filing and litigation support applications such as Relativity, Opus 2, Adobe Acrobat, and Adobe PDF/A
  • Understanding of AI capabilities, limitations, and responsible use in a professional environment.
  • Familiarity with, or willingness to learn, firm-approved AI tools (e.g., Copilot, ChatGPT, or similar platforms) to support daily workflow and/or improve work quality

Physical Requirements:

  • While performing the duties of this job, the employee is occasionally required to move from their workstation or desk throughout the work area to work independently or with a team to meet with colleagues or supervisor and retrieve work assignments.
  • This position may also be sedentary and require the employee to sit for extended periods of time.
  • Requires manual dexterity to use a phone, enter data into a computer, handle objects, and use office equipment.
  • Some filing is required and this would entail the ability to lift files, open filing cabinets, and bend or stand as necessary.

The expected pay range for this position is: $53.66 to $59.64 per hour Salary will be determined based upon education, experience, job related factors permitted by law, internal equity, and market data, including geographic pay differentials in locations where market pay differs from the national average.
