The Role: Assistant Manager, Transcripts

The Team: The Transcripts Department’s primary responsibility is to transcribe financial-related conference calls. In addition to Transcription, the team assists in the collection of other business information such as corporate executive related data, and various other key data for inclusion on the companies’ robust financial data platform during off-peak.

Responsibilities
Operational

  • Lead a team of Editors, Internal Proofers and/or Scopists
  • Assist the Transcription Operations Manager with the development, implementation and continuous improvement of the Transcription Production Workflow
  • Manage the day-to-day performance and attendance of the staff following the set Transcripts goals and Company policies at all times
  • Supports the Transcription Operations Manager in maintaining reports and in meeting goals and weekly and monthly
  • Responsible for monitoring and managing the Transcription workflow from Scoping to Internal Proofing to ensure high Quality and Timeliness targets are achieved
  • Report, document and track any Production or staff issues to ensure timely resolution
  • Perform Root Cause Analysis and Action Planning on Analysts’ tasks on a Daily basis
  • Assist the Transcription Operations Manager in planning activities for the staff
  • Regularly report team status to the Transcription Manager and upper management
  • Monitors the workflow closely in real-time, keeping close coordination with fellow Team Leaders, Workforce and Transcripts Managers
  • Ensures that all set schedules are followed properly as assigned and approved by the Transcription Workforce Manager
  • Receives directives and escalates critical concerns to the Transcription Operations Manager
  • Regularly monitors and updates all department mandated reports
  • Champions continuous improvement of internal processes to promote efficiency in delivery and workflow
  • Constructs, facilitates and implements special projects as directed by the Transcription Operations Manager in partnership with other Transcription Sites, geared towards process and overall Transcripts quality improvement


Staff Performance

  • Provide leadership, development and mentoring to Analysts
  • Responsible for ensuring that performance metrics are met and/or exceeded consistently through continuous monitoring, coaching and counseling of his/her team members on Quality, Timeliness and Productivity and overall work performance
  • Provide timely and consistent feedback to his/her direct reports including delivering of disciplinary actions if needed
  • Regularly updates Department scorecards and facilitates 1x1 developmental sessions on a Weekly, Bimonthly and Monthly basis in partnership with the Transcription Operations Manager
  • Foster teamwork and encourage an environment of open communication at all times


Supervisory

  • Directly responsible for the performance development of Transcription Analysts
  • Maintain low employee attrition and high morale within the team
  • Actively encourage Analysts to be highly engaged and proactive and effectively affect overall Employee Satisfaction through tangible projects
  • Communicate process and policy changes to the team
  • Facilitate team meetings using appropriate brainstorming, problem-solving, decision making and project planning techniques
  • Conducts and/or participates in weekly and bi-monthly meetings on enterprise activities and actions, policy implementation and changes discussions, technology updates, issues and workarounds and Quality and Timeliness dialogues
  • Conducts Transcription Team Meetings
  • Participates in Department Team Lead Meetings
  • Participates in Performance Calibrations per Workflow
  • Conducts and/or participates in Project planning and implementation meetings
  • Participates in any cross-functional communication to improve working conditions
  • Responsible for providing a motivating, encouraging and supporting work atmosphere for Transcription Production
  • Must yield to work hours needed to support the Production volume and Analysts. He/she may be required to attend and participate in meetings, conferences and town halls locally. Expected work hours may vary depending on business need, but may primarily be on the night shift. He/she will be expected to remain flexible due to changing business needs.


Requirements

  • Bachelor's degree in any related course
  • Have a strong background in any field of Transcription or QA
  • Have background at least for 3 years People Management/Supervisor/Team Leader position or equivalent experience
  • Have a strong background in Process/Workflow Management experience
  • Is knowledgeable on the Scoping, Editing, Proofing and Auditing processes
  • Good knowledge in MS Excel and Reporting Skills
  • Highly responsive, proactive problem-solver
  • Excellent Coaching/Training/Mentoring skills
  • Ability to work efficiently with off-shore Analysts and Managers
  • Ability to multi-task with multiple priorities and timeframes
  • Excellent written and oral communication skills
