Job Description

The Assistant Operations Manager, IIO manages Panama 3PL logistics operations and LATAM product registration and compliance for the Ivy International Operations division. This role oversees inbound/outbound shipment execution, export documentation, HAZMAT compliance, 3PL vendor relationships, and sanitary registration processes across international market driven insights. This role also drives operational efficiency initiatives, manages cross functional projects, enhances customer satisfaction through proactive issue resolution, and serves as a key liaison between Operations and internal stakeholders to ensure alignment and execution across the organization.

Essential Functions:

1. 3PL Management and Logistics

  • Support midterm and annual operational planning including budget planning and goal setting.
  • Manage end-to-end Panama inbound and outbound shipments, coordinate pickup scheduling with carriers and track BOL issuance through delivery confirmation.
  • Prepare and submit all export documentation including commercial invoices, packing lists, BOLs, HBLs, and HAZMAT/DG declarations (Multimodal DG forms, SDS, UN classifications) as required by carriers and customs.
  • Maintain and submit Article Master data to the 3PL WMS on a recurring basis for new SKUs; manage consignee and importer-of-record documentation changes as needed.
  • Serve as the company's authorized day-to-day point of contact with Logisfashion Panama, freight forwarders, and customs brokers — negotiating service terms and resolving operational issues on the company's behalf — and as liaison to internal Sales and IPM teams.
  • Monitor Panama GR Status via Smartsheet; identify inbound exceptions, inventory discrepancies, or shipment holds, and determine and execute the appropriate corrective actions without prior approval.
  • Review, reconcile, and approve monthly 3PL billings, validate charges and commit the company on payment matters; investigate and resolve billing disputes and negotiate credit resolutions with logistics partners.

2. Product Registrations & Compliance

  • Receive, process, and manage sanitary registration requests from the Sales team, including requesting artwork and vendor documents from the Division and submitting technical document requests to the RA team.
  • Prepare all required legal documents for sanitary registration; organize and maintain the historical archive of all registration documents, certifications, and expiration dates; proactively update any outdated records, and related documents.
  • Interpret and apply country-specific LATAM regulatory and labeling requirements to determine registration strategy; manage SCPN and CPNP registration numbers, track renewal timelines, and initiate new registration requests as required.
  • Manage and maintain the artwork master file for all products sold in LATAM; notify the Sales team of packaging updates and ensure artwork reflects the latest formula changes in a timely manner.
  • Manage and store all packaging artworks to ensure master files are aligned with current product portfolios and global requirements.
  • Manage and maintain Fichas Técnicas and master files for all product and display specifications.

3. Operations Efficiency & Process Improvement

  • Identify opportunities for process improvement and plan, lead, and manage cross‑functional projects in collaboration with relevant teams. functional projects in collaboration with relevant teams.

  • Organize and lead weekly 3PL W/H meetings to review issues and align next actions.

QUALIFICATIONS

  • Minimum 4 years’ experience in order processing, inbound & outbound logistics. Cosmetics industry preferred.
  • LATAM regulatory or sanitary registration experience preferred.
  • Strong communication, writing and interpersonal skills; excellent project management across simultaneous workstreams.
  • Problem solving, organization, and time management; customer service oriented.
  • Proficient in MS Office, SAP, SharePoint, Smartsheet.
  • Spanish-English bilingual required.

The anticipated compensation range is

65,000.00 - 105,000.00 USD Annual

Actual compensation will be determined based on various factors including qualifications, education, experience, and location. The pay range is subject to change at any time dependent on a variety of internal and external factors.
