Payroll and Timekeeping Management
- Manages the Timekeeping systemand will act as the main “Administrator”.
- Processes and ensures the accuracy and timeliness of all payroll instructions, payroll registers, bank advice, and company and statutory reports
- Collects data for payroll purposes andfinalizesthe payroll instructions on a semi-monthly basis
- Prepares the semi-monthly validation report, payroll variancereportsand bank files for approval.
- Liaiseswith all concerned work units/stakeholders includingthethirdpartypayrollservices providerfor any payroll concerns.
- Coordinates with Finance for booking of payroll transactions andclearing-offof other floating items.
- Manage therenewal of contract andCoupaCRA for P&AandInfodyne, will be the point person for these vendors.
Final Pay Administrationand Retirement benefits
- Supervise the processing of employee clearances and final pay computations
- Ensure completeness and accuracy of final pay instructions and approvals
- Oversee release of final pay and related benefits to separated employees
- Prepares the provident fund monthly contributions and sends to the third-party vendor
- Prepares the benefit payment forms for the release of the computationand the funds.
- Sends instructions to thethird-partyvendor once approved by the retirement committee.
- Processestherelease of the benefit fundsthrough the third-party vendor.
- Prepares the SOA file for release to all employees via uploading inmyHR
HR Operations and Service Delivery
- Formulates and implements HR service standards, including performance metrics, for the HR team
- Formulates and implements Service Level Agreements (SLAs) in collaboration with non-HR work units involved in HR service delivery processes andthird-partyservice providers, and monitors and reviews performance vs. these standards
- Implements andmaintainseffective quality control mechanisms within the team with a strong focus on timeliness, completeness and accuracy of HRtransactions, andintegrity of HR data
- Initiates process improvements topromote operationaland functional efficiency and productivityEnsures that these processes are documented
- Acts as escalation point for the resolution of complex issues and queries logged with the service delivery team
- Manages the preparation of regular andadhocHR service delivery reports
Reporting and Data Management
- Ensures the regular andaccurateupdatingof records
- Conducts periodic reviews to ensure data integrity
- Analyzes gaps between system capabilities vis-à-vis operational requirements and recommend system enhancements
- Reviews andcontrol systemaccess
- Participates in user acceptance testing (UAT) for new or enhancement of current application systems
- The person will be involved with projects and will act as a Project Manager for any HR Operations assigned projects.
- Support implementation, testing, and enhancement of HR and timekeeping systems
- Lead orassistin development of HR process documentation and user training
- Drive continuous improvement initiatives within HR operations
