Assistant Manager
[What you will be working on]
Student Overseas Trips
· Oversee and provide lead-roles to the planning and managing of Global Studies Overseas Trips and be Trip Liaison (Students) for some trips
· Be a Business-partner to School/Dept for Student Overseas Trips
· New Student system implementation and maintenance for Student Overseas Trip module
· Support the procurement for overseas trips using government procurement methods
· Manage Opportunity Fund (OF) budget and approvals for Schools and Departments
· Work with internal and external stakeholders for trip reporting, annual budgeting, and projections
· Work with Travel Agents to improve trip quality, standard & safety
· Maintain student trip database for reporting and audits
· Deliver training and assistance to trip leaders
Procurement/ Finance
· Budget planning and reporting for the department
· Manage and control the procurement of goods and services
· Work closely with IR Team Members, TP Corporate Procurement and Finance Teams to ensure compliance with TP Corporate Procurement & Finance processes
Support for Events
· Build up internal capabilities for managing events from the financial/funding aspects
· Advise project teams on timeline, procurement and execution: financial project management; scope platform requirements and specifications; bid evaluation; platform setup if any, design, registration, risks management, financial reporting
[What we are looking for]
At least 3 to 5 years of experience in project management, administrative work, student trip planning and government procurement process
Self-motivated with good communication and strong interpersonal skills to network effectively with internal and external stakeholders to influence win-win results
Able to work independently to problem solve with positive initiative and resourcefulness
Oversee tendering, evaluation and budgeting processes to ensure compliance with policies and guidelines
Evaluate the interest, alignment and influence of key stakeholders
Excellent team player, well organised, detailed and innovative to deliver results under pressure and tight timelines
Good IT proficiency: able to use MS Office and other applications for collaboration, data gathering, data presentation, accounting, analytics and automation
Able to travel overseas for business and student trips when necessary
Advocator of life-long learning for self-development and skills upgrading
