Job Description

This role supports end-to-end PMO and operational governance across hiring, resource management, compliance, and reporting activities. The position partners closely with HR, Finance, Delivery, Procurement, and external vendors to manage hiring operations, onboarding coordination, headcount tracking, utilization reporting, and timesheet validation. It is responsible for maintaining accurate dashboards, compliance reports, and leadership updates, while ensuring adherence to internal policies and contractual standards. The role also supports audits, drives process improvements and automation initiatives, and serves as a central coordination point for cross-functional operational matters, handling sensitive information with professionalism and discretion.

  • Hiring Support
  • Support hiring operations for offshore and onshore requirements by coordinating with HR and business stakeholders. Create positions on ServiceNow, track open requisitions, keep hiring trackers up to date, and prepare weekly dashboards to share hiring status with business teams.
  • Onboarding of new hires:
  • Coordinate with asset and facilities teams to ensure timely laptop delivery and smooth first-time login for new hires.
  • Resource Management
  • Maintain and regularly update headcount trackers to ensure accurate visibility of planned vs actual resources across cost codes and projects.

    Manage resource allocation and utilization data, tracking movements, roll-offs, extensions, and backfills across teams.

    Prepare and maintain PMO dashboards, reports, and trackers (headcount, utilization, costs, etc.) for leadership reviews.
  • Timesheet Management
  • Manage timesheet submissions across multiple accounts, including bulk uploads. Validate timesheet data against approved headcount and cost codes and prepare validation reports.
  • Compliance Management
  • Prepare and maintain compliance reports for multiple accounts as per defined timelines and ensure timely and accurate submission. Ensure adherence to internal policies, contractual obligations, and compliance standards, and proactively flag risks or deviations.
  • Ad Hoc
  • Coordinate and document meetings, prepare agendas, capture minutes, maintain action trackers, and ensure follow-through on action items.
  • Act as a central point of contact between HR, Finance, Delivery, Procurement, and external vendors for PMO-related operational matters.
  • Support internal and external audits by ensuring data readiness, documentation accuracy, and timely responses.
  • Identify opportunities for process improvements, standardization, and automation within PMO operations and support implementation.
  • Handle confidential and sensitive information with discretion and professionalism
  • 3+ years of experience in a multinational corporation (MNC) with exposure to PMO or operational governance functions
  • Strong organizational and multitasking abilities with high attention to detail
  • Comfortable working across multiple time zones (IST/EST)
  • Bachelor’s or Master’s degree from a top-tier university with a strong academic record; background in Commerce, Accounting, PMO, or Audit preferred
  • Strong proficiency in Excel and PowerPoint for reporting, analysis, and leadership presentations
  • Demonstrated expertise in executing administrative and operational tasks with exceptional organization, accuracy, and process discipline
  • Proficient in setting up and managing virtual meeting platforms and conference call.
  • A strong team player with the confidence to suggest and implement process improvements while collaborating effectively across teams
  • Clear, concise communication skills with the ability to work confidently with senior stakeholders
  • Prior experience in management consulting and/or analytics-based consulting is desirable
