Parsons is looking for an amazingly talented Assistant Information Manager (Saudi National) to join our team!
The Assistant Information Manager supports the effective management, control and governance of project and operational information for the Entertainment Business Unit. Sitting one level below the Document Control Manager, this role helps administer the Common Data Environment (CDE), enforces information standards, and ensures that drawings, documents, records and data related to entertainment venues, attractions and events are accurate, timely, secure and accessible to authorised stakeholders.
With a minimum of 6 years’ experience in document control and information management, the Assistant Information Manager plays a key role in day-to-day coordination, quality assurance, system administration and user support, while contributing to continuous improvement of information processes and tools across the Entertainment Business Unit.
Support the Document Control Manager in operating and maintaining the CDE/EDMS for entertainment projects, venues and operations.
Administer document control workflows for incoming and outgoing documents, drawings, correspondence, reports and records related to entertainment assets and events.
Ensure correct registration, numbering, revision, status and distribution of documents in line with approved procedures and BU standards.
Coordinate daily document control activities across entertainment projects, disciplines and teams, resolving routine issues and providing guidance.
Apply and enforce information management and document control standards, procedures and naming conventions specific to the Entertainment Business Unit.
Perform quality checks on metadata, file naming, document structures, transmittals and revision histories.
Assist in maintaining information management manuals, work instructions and process maps for entertainment-related information.
Support audits and compliance reviews, preparing evidence and corrective action plans where required.
Act as a key user and administrator for EDMS/CDE platforms (e.g. Aconex, BIM 360, SharePoint, Asite, etc.) used by the Entertainment Business Unit.
Manage user accounts, permissions, access rights and folder structures under the guidance of the Document Control Manager.
Coordinate system upgrades, configuration changes and testing, liaising with IT and system vendors.
Monitor system performance, data integrity and storage usage, escalating technical issues as needed.
Provide day-to-day support to entertainment project managers, venue teams, engineers, consultants, contractors and other stakeholders on information management processes and tools.
Coordinate document submissions, approvals and transmittals between internal entertainment teams and external parties (designers, contractors, operators, regulators).
Help ensure timely availability of current drawings, specifications and critical documents to site and operations teams for entertainment venues and events.
Participate in coordination meetings, highlighting information-related risks, dependencies and actions.
Produce regular reports and dashboards on document volumes, turnaround times, compliance with workflows and outstanding actions within the Entertainment Business Unit.
Track and report on document review cycles, overdue approvals and information bottlenecks.
Support the Document Control Manager in preparing KPI reports and performance summaries for entertainment leadership.
Provide onboarding and refresher training to entertainment BU users on information management systems and document control procedures.
Develop quick reference guides, FAQs and training materials to improve user adoption and consistency.
Identify opportunities to streamline processes, reduce manual effort and enhance data quality in entertainment-related information flows.
Contribute to improvement initiatives and pilot projects related to information management, digitalisation and automation within the Entertainment Business Unit.
What required skills you'll bring:
Bachelor’s degree in Information Management, Business Administration, Engineering, Construction Management, IT or a related discipline (or equivalent experience).
Minimum of 6 years’ experience in document control, records management or information management in construction, engineering, entertainment venues, infrastructure, facilities or similar project environments.
Demonstrated experience working with EDMS/CDE platforms and structured document control processes.
Experience supporting large, multi-stakeholder entertainment projects, venues or event programmes with significant technical documentation is strongly desirable.
Strong knowledge of document control principles, information lifecycle management and records retention.
Proficiency with EDMS/CDE platforms (e.g. Aconex, BIM 360, SharePoint, Asite, or equivalent) and common office tools.
Understanding of drawings, technical documents, version control, transmittals and approval workflows.
Familiarity with ISO or industry standards related to information and quality management (e.g. ISO 9001, ISO 19650 is an advantage).
High attention to detail, accuracy and consistency in handling documents and data.
Strong organisational skills with the ability to manage multiple workflows and priorities.
Clear, professional communication and stakeholder coordination skills, particularly with entertainment-focused teams and partners.
Proactive problem-solving, with a focus on service, reliability and continuous improvement.
Integrity and confidentiality in managing sensitive commercial and technical information.
