Job Description

  1. Key Responsibilities

HC Operations & Administration

  • Support the HC Manager in implementing HR strategies, policies, procedures, and annual people plans for Guinea Conakry.
  • Coordinate day-to-day HR administration and ensure timely delivery of employee services.
  • Maintain accurate and confidential employee files, contracts, personnel records, and HR databases.
  • Support the development and implementation of HR processes, templates, controls, and service standards.
  • Provide regular updates to the HC Manager and Country leadership on key people matters.

Talent Acquisition & Onboarding

  • Coordinate recruitment activities from approved requisition through sourcing, screening, interviews, reference checks, and onboarding.
  • Work with managers to prepare job descriptions and define staffing requirements.
  • Maintain candidate pipelines and relationships with recruitment agencies and other talent sources.
  • Coordinate onboarding, induction, documentation, and probation processes for new employees.
  • Track vacancies, recruitment timelines, and workforce plan implementation.

Employee Relations & Engagement

  • Serve as a first point of contact for routine employee enquiries, grievances, and workplace concerns.
  • Support the HC Manager in handling disciplinary, grievance, conflict-resolution, and employee relations matters fairly and consistently.
  • Coordinate employee engagement, communication, recognition, and welfare initiatives.
  • Support employee separation processes, including exit documentation and interviews.
  • Promote a positive culture of professionalism, safety, integrity, and high performance.

Performance Management

  • Coordinate performance appraisal cycles, goal-setting processes, and performance documentation.
  • Follow up with managers and employees to ensure timely completion of performance reviews.
  • Support managers in identifying performance gaps and development needs.
  • Maintain performance management records and prepare completion reports.
  • Assist with implementation of performance improvement plans where required.

Compensation, Benefits & Payroll Support

  • Support monthly payroll preparation, validation, and reconciliation with Finance and relevant service providers.
  • Maintain accurate employee compensation and benefits records.
  • Coordinate employee benefits administration, including insurance, statutory benefits, leave, and related documentation.
  • Support the HC Manager in resolving payroll and benefits queries promptly.
  • Assist with salary and benefits benchmarking and workforce-cost analysis as required.

Training & Development

  • Coordinate training needs assessments and maintain the annual training calendar.
  • Support delivery and administration of induction, safety, technical, leadership, and professional development programmes.
  • Track training attendance, completion, costs, and effectiveness.
  • Maintain employee development records and support career development initiatives.

Labour Compliance & HR Reporting

  • Support compliance with applicable Guinean labour laws, employment requirements, statutory obligations, and company policies.
  • Maintain HR compliance calendars and ensure required documentation is prepared and submitted on time.
  • Liaise with relevant authorities and external HR service providers under the direction of the HC Manager.
  • Prepare HR reports covering headcount, recruitment, turnover, absenteeism, leave, payroll, training, and employee relations.
  • Support internal and external audits relating to human capital activities.

HR Systems & Process Improvement

  • Ensure accurate and timely entry of employee information into HRIS/ERP systems.
  • Maintain data integrity and confidentiality within HR platforms.
  • Identify opportunities to improve HR workflows, automation, employee service delivery, and reporting.
  • Support the development of HR dashboards and management information.
  • Perform any other duties as assigned by the Country Director / Managing Director or HC Manager
  1. Person Specification

Qualifications

  • Bachelor's degree in Human Resources Management, Business Administration, Public Administration, Industrial Relations, or a related field. A Master's degree is an advantage.
  • Professional HR certification such as SHRM, CIPD, or an equivalent recognised qualification is an advantage.
  • Fluency in French is required; working knowledge of English is an advantage.

Experience

  • Minimum of 5-8 years' experience in Human Resources / Human Capital management.
  • At least 2-3 years in a supervisory, assistant manager, or senior HR generalist role, preferably within a large, multinational, service-oriented, infrastructure, or operational organisation.
  • Demonstrated experience in recruitment, employee relations, performance management, payroll/benefits administration, training, and HR reporting.
  • Experience working within the Guinean employment context or a comparable Francophone West African environment, with knowledge of applicable labour and statutory requirements.
  • Experience with HRIS/ERP systems and strong Microsoft Office capability.
  • Experience supporting a diverse workforce across multiple operational teams or sites.
