The Role

We are looking for an FM Assistant Finance Manager to join our Facilities Management Finance team on a fixed-term maternity cover contract This role plays a key part in managing utility costs across our portfolio, ensuring invoices are accurately processed, paid on time and effectively reconciled.

Working closely with internal FM teams, external utility providers and our energy consultants Carbonxgen, you will help maintain strong financial controls while supporting continuous improvement in utility payment processes.

Key Responsibilities

  • Manage the end-to-end processing of utility invoices across the portfolio, including service charge (Horizon) and non-service charge (Agresso).

  • Act as a key point of contact for Carbonxgen, utility providers and internal stakeholders regarding utility queries.

  • Liaise with FM and Property Management teams to review, code and action utility invoices and statements.

  • Request, reconcile and review monthly utility statements, providing feedback where required.

  • Lead and attend monthly meetings with Carbonxgen and utility suppliers, focused on clearing aged debt and resolving PO or billing issues.

  • Manage escalation issues, including liaising with bailiffs where required to prevent service disconnections.

  • Raise purchase orders and ensure accurate coding of utility costs.

  • Manage the TCE Property Management utilities mailbox.

  • Resolve credit balances and support account reconciliations.

  • Identify opportunities to improve and streamline utility payment processes

  • Provide ad hoc support and cover within the FM Finance team as needed.

About You

  • Previous experience in a finance, accounts, or utilities-focused role, ideally within property or facilities management (or a comparable environment).

  • Strong organisational skills with excellent attention to detail.

  • Confident managing multiple stakeholders, including external suppliers and internal teams.

  • Commercially aware with a proactive approach to problem-solving and process improvement.

  • Strong written and verbal communication skills.

  • Willingness to learn, develop and contribute positively to a collaborative team environment.

Qualifications

  • A-levels or equivalent.
