Assistant Facilities Manager- JLL
What this job involves:
As an Assistant Facilities Manager at JLL, you'll support the delivery of facilities management services across a complex commercial portfolio, ensuring safe, reliable, compliant, and well-maintained facilities while providing exceptional client and occupant service. Working closely with Facilities Managers, engineering teams, vendors, and service partners, you'll take ownership of day-to-day facility operations, coordinate maintenance activities, monitor work order performance, and conduct facility inspections to identify and resolve operational issues. This hands-on role requires someone who can effectively manage competing priorities and communicate across multiple stakeholders in a fast-paced operating environment. You'll be empowered to drive issues through resolution, maintain strong visibility into facility conditions, and proactively identify concerns before they impact operations.
• Conduct routine facility inspections across assigned buildings to identify maintenance, housekeeping, safety, environmental, and operational deficiencies, then initiate corrective work orders and drive issues through completion
• Monitor work orders within the CMMS to ensure requests are properly documented, prioritized, assigned, and completed while reviewing aging and overdue items to remove barriers to closure
• Coordinate and oversee third-party service providers by verifying vendors meet established scope, service expectations, schedules, safety requirements, and site standards while conducting field verification of completed work
• Support daily facilities operations involving electrical, plumbing, lighting, life safety, elevators, building controls, and other infrastructure while escalating issues that could affect operations, safety, or business continuity
• Work closely with engineering personnel to understand building conditions, equipment issues, maintenance priorities, and operational risks while supporting coordination of planned shutdowns and infrastructure projects
• Serve as a facilities point of contact for assigned buildings by responding professionally to facility-related concerns, maintaining regular stakeholder communication, and providing clear status reporting on open issues and corrective actions
• Support facilities budgeting by assisting with purchase orders, proposals, invoices, expense tracking, and identifying cost-reduction opportunities while maintaining operational reliability and service quality
Required qualifications:
• High school diploma
• 5+ years of progressive experience in facilities management, building operations, property management, or engineering operations
• Demonstrated experience supporting commercial, corporate, industrial, or technically complex facilities with hands-on operational responsibilities
• Proven ability to coordinate vendors, contractors, and service providers while holding them accountable for scope, schedule, quality, and follow-through
• Strong organizational, communication, and problem-solving skills with ability to independently manage multiple priorities and recognize when issues require escalation
• Proficiency with Microsoft Office and common facilities-management technology platforms
• Ability to perform physical requirements of the role including walking extensively throughout facilities, climbing stairs and ladders, accessing mechanical rooms and rooftops, and standing for extended periods during inspections
Preferred qualifications:
• Experience using CMMS/work-order management systems and managing preventive and corrective maintenance activities
• Associate degree, technical or vocational training, or facilities management certifications such as IFMA FMP, BOMI, CFM, SMA, or OSHA credentials
• Experience supporting large multi-building corporate campus or regional portfolio operations
• Experience coordinating infrastructure-related maintenance, repairs, shutdowns, and vendor activities
• Familiarity with building monitoring systems, operational reporting tools, and facilities risk management practices
• Basic understanding of facilities budgeting, purchasing, invoicing, proposals, and expense management
