Assistant Facilities Manager 과장급 (판교 근무)

What this job involves:

The Assistant Facilities Manager will undertake administrative duties that will include but not be limited to:

  • Management Information reporting
  • Operational activities such as room set-ups and floor inspections
  • Vendor oversight including safe work method statements and service validation
  • Purchasing of material, equipment & supplies
  • Consumables inventory management
  • Occupancy services for room bookings and employee registration
  • Helpdesk services
  • Reception and visitor management

The Assistant Facilities Manager is also required to provide administrative support to the client’s Workplace Lead.

Providing onsite support

You will be reporting to a JLL Site Lead and your actual daily duties will be subject to guidance from him/her, depending upon the focus of the day. You will be supported in all that you undertake and you will benefit from hands-on training where needed.

Whilst the site administration will absorb much of your time during the work week, an important aspect of your role is to understand the status of the offices and facilities, for which you will often be invited to undertake floor walks with the Site Lead to inspect the condition of the building.

Your role may require you to attend to the reception for visitor ingress and to support and vendor roll-in. You will be trained in the operation of the Vendor Management system and visitor badging.

You will be responsible for booking and managing helpdesk tickets through the helpdesk platform.

You will be working with vendors for the supply of goods and services, receiving and inventorying stationary items, pantry items and spares such as toner cartridges and light bulbs. You will be sure to check all incoming deliveries for accuracy and to document the receipt of such goods. For vendor services, you will confirm the operatives present their Safe Work Method Statements and you will escort them to the area of work, registering the names and attendance hours. You will not be required to inspect and validate their work if the work is speclialised.

Meeting the clients’ facilities needs

At JLL, we put client satisfaction at the front and center of everything we do. If you share our values, we will be more than happy to work with you. In this role, you’ll be responsible for working closely with clients and suppliers onsite to identify their facility-related inquiries and requirements.

Making everyone safe and risk-free

Do you value workplace safety? If so, you’ll be a perfect fit for the job. In this role, you will ensure everyone’s health and safety, keeping the workplace safe from hazards and maintaining an incident register. You will help to ensure a healthy workplace by inspecting the cleaning activities and discussing any cleanliness concerns with the Cleaning Supervisor.

Also, part of your job scope is to hit key performance indicators and meet service levels required for this role.

Where can processes be improved? How can we save costs? These are questions that will be at the forefront of the team’s thinking. You, too, will always have an eye on this, contributing suggestions as they arise.

Sound like you? To apply, you need to:

Have a Passion for service

Do you have a prior experience in facilities, property management, hospitality or other related fields? Do you have an understanding of basic health and safety, help desk functions, reception duties, visitor management, storeroom inventories, Microsoft Office applications and customer care?

Be a Team Player

JLL’s unmatched excellence is only made possible by teamwork—a core value we want you to possess. As the facilities coordinator, we expect you to support the team and work well with others toward achieving targets. Likewise, you must have a proven track record in timeliness and accuracy, all while following company standards and procedures.

Be a Client Focused enthusiast

It is important that you can easily interact with the general client staff and vendors to deliver efficient services. We’ll also count on you to address conflicts and conflicting priorities effectively. Likewise, you must be an excellent and resilient communicator who faces customers with a smile at all times, even when times get rough occasionally.

What we can do for you:

At JLL, we make sure that you become the best version of yourself by helping you realize your full potential in an entrepreneurial and inclusive work environment. We will empower your ambitions through our market-leading Rewards Program, competitive pay, and benefits package.
