Job Description
The Office of Equal Employment Opportunity and Workplace Culture (EEO & WC) is seeking a highly motivated and detail-oriented individual to serve as Assistant to the Director. This role provides high-level administrative and operational support in a fast-paced, confidential, and compliance-driven environment.
The Assistant will support the Director of EEO & Workplace Culture and, as needed, provide administrative support to senior staff within the office. This is a highly visible position requiring a high degree of professionalism, discretion, and sound judgment. The selected candidate must demonstrate the ability to manage sensitive and confidential information, work independently, and support EEO-related functions with accuracy and efficiency. Strong interpersonal, organizational, and communication skills (both verbal and written), as well as proficiency in computer systems, are essential.
This position does not provide employment pursuant to the terms of a STEM OPT Training Plan.
Core Responsibilities
- Provide administrative and office management support to the Director of EEO & Workplace Culture and designated senior staff.
- Maintain and manage the Directors daily calendar, including scheduling meetings, appointments, and priority engagements, including sensitive confidential EEO-related meetings.
- Track and monitor assignments, projects, and deadlines related to EEO complaints, investigations, training initiatives, and workplace culture programs.
- Screen calls, receive visitors, and serve as a point of contact for internal and external stakeholders.
- Prepare, draft, and manage correspondence, reports, and other documentation, including sensitive EEO-related communications.
- Respond to and appropriately route inquiries, complaints, and correspondence related to EEO, Employee Outreach and Engagement, workplace culture, and related compliance matters.
- Create, develop, and assist in maintaining systems to track complaints, inquiries, and follow-up actions in coordination with EEO staff.
- Schedule and coordinate meetings, including intake meetings, investigative interviews, training sessions, and leadership briefings, including sensitive confidential EEO-related meetings.
- Coordinate logistics for meetings, ensuring materials are distributed in advance and all necessary arrangements are completed.
- Assist with preparation of presentations, reports, and materials related to EEO metrics, training, and compliance reporting.
- Maintain organized and confidential filing systems (electronic and physical) for investigations, complaints, and related documentation.
- Support coordination of EEO training programs, workshops, Employee Outreach and Engagement programs, and special initiatives related to workplace culture.
- Process travel arrangements and expense reports as required.
- Assist with special projects, initiatives, and events related to EEO & Workplace Culture.
- Strong command of the Microsoft Office Suite (Word, Excel, PowerPoint) to create, edit, and format professional documents, spreadsheets, and presentations; familiarity with Power BI is a plus.
- Perform all other related duties as assigned.
Required Education/Experience
- Bachelor's Degree and a minimum of 5 years of relevant work experience, or
- Associate's Degree and a minimum of 5 years of relevant work experience, or
- High School Diploma/GED and a minimum of 5 years of relevant work experience.
Preferred Education/Experience
- Bachelor's Degree and at least 5 years of relevant work experience, preferably in human resources, compliance, legal, or EEO-related environments.
Relevant Work Experience
- Strong oral and written communication skills, including experience handling sensitive or confidential matters, required.
- Strong Command of Microsoft Office Suite and other administrative or case-tracking systems, required.
- Demonstrated ability to manage multiple priorities, meet deadlines, and maintain organization in a high-volume environment, required.
- Strong interpersonal skills with the ability to interact professionally with diverse stakeholders, required.
- Ability to work independently, demonstrate initiative, and exercise sound judgment, required.
- High level of attention to detail and commitment to accuracy, required.
- Ability to manage confidential information with discretion and integrity, required.
- Experience supporting complaint intake, investigations, compliance reporting, or HR/EEO functions, preferred.

Additional Physical Demands
- The selected candidate will be assigned a System Emergency Assignment (i.e., an emergency response role) and will be expected to work non-business hours during emergencies, which may include nights, weekends, and holidays.
