SUMMARY

The Assistant Director of Loan Operations assists the Director of Loan Operations serving as a leader of the Loan Operations Department, overseeing all operational functions, staff management, business continuity planning and service level agreements. Works with the Director of Loan Operations to establish department strategies and risk-based internal controls, develop appropriate policies and procedures, and provide guidance and direction to department personnel. Exercises significant judgment and discretion in decision-making within defined but broad limits of authority.

PRIMARY DUTIES/RESPONSIBILITIES

  • Responsible for all functions performed in Loan Operations, as determined by the Director of Loan Operations.
  • Works with the Director of Loan Operations in providing visionary leadership to optimize service performance and inspire continuous improvement of Loan Operations.
  • Works with the Director of Loan Operations to develop and drive the achievement of departmental strategic goals and objectives in support of Bank-wide strategies. Allocates resources to ensure objectives are met.
  • Exercises broad decision-making authority based on what is best for customers, the Bank and account officers. Has authority to take significant, calculated risks after evaluation of facts assuring quality customer service to all loan customers.
  • Champions the adoption of innovative operational and technological solutions and business process automation supportive of the Bank’s Strategic Plan, including vendor provided enhancements.
  • Develops and enhances Loan Operations’ service standards and their successful delivery.
  • Identifies Key Performance Metrics and measures and reports performance against those KPMs.
  • Develops and recommends new programs to improve efficiency, policies, operating procedures, and revision of internal standards.
  • Provides staff with clear, concise written guidelines and minimizes losses through effective internal controls.
  • Responsible for hiring and onboarding talent as well as coaching, mentoring, and evaluating subordinate managers.
  • Clearly communicates job expectations and holds Loan Operations management and staff accountable for job proficiency, productivity, project completion, professional standards and training/career development requirements.
  • Mentor management and staff members as they work to achieve individual and team performance goals. Addresses performance concerns in a timely manner when appropriate.
  • Facilitates recurring team meetings that foster collaboration and strong communication (specifically to instill the FFB Culture) within the Loan Operations team.
  • Work with Loan Operations managers to ensure Loan Operations staff receive cross-training to cover one another’s job duties for business continuity purposes. Ensures documented desk procedures are current.
  • Responsible for ensuring compliance with policies and procedures and federal and state laws.
  • Other duties as assigned by Director of Loan Operations.

QualificationsEXPERIENCE REQUIREMENTS

  • Five years of experience in Loan Operations functions required.
  • Two years of supervisory/managerial experience required.

EDUCATION REQUIREMENTS

Bachelor’s degree or equivalent combination of education and experience

OTHER REQUIREMENTS (SKILLS, ABILITIES, CHARACTERISTICS)

  • Excellent oral and written communication skills required to establish goals, direct, and evaluate staff; interact with employees, industry peers, and outside vendors; make recommendations; prepare reports; and conduct presentations.
  • Tactical as well as strategic thinker, with excellent leadership skills. Collaborative approach to management.
  • Excellent organization, project management, execution, and delivery skills. Must be able to multi-task with frequent interruptions; be comfortable in a fast-paced, changing environment; and manage multiple projects to conclusion and on time.
  • Thorough knowledge of Generally Accepted Accounting Practices (GAAP) as it relates to loan processing.
  • Thorough knowledge of loan system processing and reporting options, preferably with experience working with Jack Henry product suites.
  • Thorough knowledge of bank operations, including extensive knowledge of state, federal, and regulatory requirements related to consumer and commercial loan doc preparation, processing, documentation perfection, and the reporting standards for those loans.
  • Excellent PC skills, specifically Microsoft skills (Outlook, Excel, Word) and ability to master all the bank’s systems and software.
